Job Title: Medical Operations & Implementation Manager / Medical Spa Integration Coordinator

Location: Travel Required - Multiple Spa Locations Nationwide

Job Type: Full-Time | Travel Required | Multi-Site Support Role

Salary: $3,500 to $5,500 per month

About Us: We are a rapidly expanding spa company transitioning into a medical-grade aesthetic and wellness brand. With multiple locations and high-demand services being added, we are seeking a Medical Operations & Implementation Manager / Medical Spa Integration Coordinator to support our transformation. This role is ideal for someone with operational savvy, medical spa or clinical experience, and a hands-on approach to implementation and compliance.

Position Overview: You will coordinate the full rollout of medical operations across multiple spa locations. From legal compliance and staffing to vendor setup and on-site training, you'll serve as the point person to ensure smooth, compliant, and consistent transformation of each location into a high-functioning medical spa.

Key Responsibilities:

Medical Spa Transition & Compliance

- Coordinate the operational transformation of day spas into compliant medical spa facilities

- Work closely with legal and compliance teams to complete state registrations

- Implement protocols in line with HIPAA and state medical board requirements

Staffing Support
- Assist with recruitment and credential verification of Nurse Practitioners, PAs, and RNs
- Support onboarding, policy rollout, and clinical team orientation

Vendor & Equipment Coordination
- Set up and manage vendor accounts with medical suppliers (e.g., Allergan, Galderma, McKesson)
- Oversee installation and readiness of devices like RF, laser, and micro needling equipment

Travel & On-Site Implementation
- Travel to newly transitioned spa locations to:
*Train staff on medical protocols and procedures
*Conduct readiness inspections for compliance and quality
*Provide support for new service launches

Program Rollout & Sales Enablement
- Help develop and implement services including:
*Medical weight loss
*Hormone Replacement Therapy (HRT)
*PDO Threads
*Neurotoxin (Botox & Dyspot)
*Derma Fillers
*Vitamin shots (B12,MICC shots, NAD+shots
*RF Micro needling, CO2 Laser treatments, and more

- Support front desk and sales teams to improve treatment education and consultation skills

Qualifications:

  • Experience in a medical spa, aesthetic clinic, or healthcare operations role
  • Understanding of medical compliance and spa regulations (preferred but not required)
  • Strong project coordination, vendor management, and team training skills
  • Willing and able to travel regularly to spa locations (up to 70%)
  • Clinical background (RN, NP, PA) a plus, but not required
