Position Summary: The Implementation Coordinator is responsible for leading the successful implementation and onboarding of new Auto-Toner Replenishment (ATR) and Managed Print Services (MPS) accounts. This role serves as the primary liaison between TGI and the client during the onboarding process, ensuring a seamless transition from sale to fully operational service.

The specialist coordinates with Sales, Contracts, Field Service, Remote Operations, IT, and Logistics teams to deploy required monitoring tools, validate fleet information, establish reporting connectivity, educate clients on the ATR program, and confirm all implementation requirements have been successfully completed prior to go-live.

This position plays a critical role in delivering exceptional customer experience while ensuring data integrity, operational consistency, and long-term success of the ATR program.


Primary Duties & Responsibilities:

Client Onboarding & Implementation

  • Serve as the primary point of contact for all new ATR client implementations.
  • Conduct professional onboarding meetings with client operational and IT stakeholders.
  • Explain the ATR program, monitoring technologies, and client responsibilities in clear, business-friendly language.
  • Review and confirm client expectations, communication procedures, and support processes.
  • Coordinate implementation timelines and onboarding activities across multiple internal departments.

Fleet Validation & Deployment Coordination

  • Validate fleet inventory, including device models, serial numbers, locations, and reporting eligibility.
  • Coordinate deployment of Data Collection Agents (DCA), manufacturer management tools, and other required monitoring technologies.
  • Work with client IT personnel to facilitate deployment and resolve implementation issues.
  • Coordinate with Field Service and Remote Operations teams for onsite or remote installations as required.
  • Verify successful communication and reporting for all supported devices prior to production activation.

ATR Program Configuration

  • Confirm shipping locations, designated client contacts, and ATR program variations.
  • Verify device information, account data, and contact records for accuracy.
  • Ensure customer accounts are configured according to TGI operational standards and program requirements.
  • Coordinate any required corrections prior to go-live.

Client Education & Communication

  • Provide clients with ATR program documentation and onboarding materials.
  • Educate clients on toner replenishment processes, shipment expectations, monitoring tools, and support procedures.
  • Address customer questions regarding security, monitoring software, and reporting functionality.
  • Ensure designated client operational and IT contacts are identified and documented.

Go-Live Validation & Hypercare

  • Confirm all implementation milestones have been completed prior to activating ATR services.
  • Validate reporting accuracy, fleet visibility, and supply automation readiness.
  • Monitor newly onboarded accounts during the post-implementation period and coordinate resolution of reporting or operational issues.
  • Escalate unresolved issues to the ATR Program Manager or appropriate department.

Documentation & Continuous Improvement

  • Maintain accurate implementation records, onboarding documentation, and activity logs.
  • Track onboarding progress and key implementation metrics.
  • Identify opportunities to improve onboarding procedures, documentation, and customer experience.
  • Participate in ongoing process improvement initiatives and special projects supporting the ATR program.

Key Performance Indicators (KPIs):

  • Time from signed agreement to ATR go-live
  • Percentage of devices successfully reporting at go-live
  • First-time implementation success rate
  • DCA deployment success rate
  • Fleet validation accuracy
  • Client onboarding satisfaction score
  • 30-day post-go-live reporting success rate
  • Number of onboarding-related escalations
  • Percentage of accounts requiring post-implementation rework

Experience:

  • Experience in Managed Print Services (MPS), copier industry, managed IT services, or customer implementation roles
  • Project coordination or client onboarding experience
  • Strong customer service and communication skills
  • Experience working with remote monitoring technologies or network-connected devices

Skills:
