RESPONSIBILITIES:
  • Greet and provide timely, courteous, and professional service to all patients when scheduling appointments and assisting with various inquiries.
  • Using available resources follow scheduling guidelines to complete and receipt all scheduling request and interpret orders and treatment plans as appropriate.
  • Develop and implement methods to capture all actively recorded appointments to include scheduled, rescheduled, or cancelled appointments.
  • Manage surgical case files, coordinate lab appointments, and distribute packets and forms that outline the scheduling prep details prior to the procedure.
  • Utilizing multiple systems, managing applications to schedule procedures and link the appropriate orders.
  • Coordinate procedures with other resources to schedule surgical procedures at multiple hospitals that require sedation or general anesthesia.
  • Analyze and implement a process to schedule various procedures in EPIC system to schedule various procedures. Manage Physician's orders and communicate with stakeholders to include Providers, patients, and other scheduling staff.
  • Distribute the daily schedule, process the appointment data elements, and update MyChart.
  • Analyze data integrity, produce documentation for pre-authorizations, referrals, and reports for any scheduling system changes or updates
  • Revise and make modifications to scheduled procedures and all additions or cancellations submitted. Communicate effectively to all appropriate parties in a timely manner.
  • Check insurance eligibility and track and monitor prior authorization for appointment resolution.
  • Analyze generated reports and correspondence to identify any variances for corrective action as appropriate.
  • Assist with training and orienting new hires.
  • Respect and maintain patient privacy and dignity.
  • Other duties as assigned.
REQUIREMENTS:
  • High School diploma or equivalent required.
  • Medical office experience in a multi-provider office as a hospital scheduler or medical receptionist preferred.
  • Strong computer and typing skills, to include MS Excel, are required.
  • Prior Electronic Medical Record (EMR) system experience preferred
  • Bilingual (English/Spanish) a plus.
  • Excellent customer service skills and positive attitude.
  • Ability to multi-task.
  • Detail oriented.
  • Effective communication skills and pleasant phone
