Position Summary:
The HVAC Dispatcher is responsible for coordinating and scheduling HVAC service technicians to ensure timely response to service requests, preventive maintenance, and emergency calls. This role serves as the primary communication link between customers, technicians, and management while maintaining efficient daily operations.


Essential Duties and Responsibilities

  • Schedule and dispatch HVAC technicians for service calls, maintenance visits, and installations.
  • Prioritize emergency service requests and adjust schedules as needed.
  • Monitor technician routes and workloads to maximize efficiency and customer satisfaction.
  • Communicate appointment details, updates, and delays to customers.
  • Maintain accurate records of service calls, work orders, and technician assignments.
  • Coordinate with technicians regarding parts availability, job status, and customer requirements.
  • Track job completion and ensure all documentation is properly submitted.
  • Respond to customer inquiries and resolve scheduling issues in a professional manner.
  • Assist with invoicing, data entry, and administrative tasks as needed.
  • Ensure compliance with company policies, safety procedures, and service standards.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous dispatching, scheduling, customer service, or HVAC industry experience preferred.
