Operations Coordinator

Hartsdale, NY

About Us

We oversee rent-regulated apartment buildings across New York City. We manage a complex portfolio with tenant relationships, lease renewals, regulatory compliance, repairs, and strategic buyout opportunities. We're looking for someone to learn the ins and outs of apartment portfolio operations from the ground up.

The Role

As our Operations Coordinator, you'll be the operational muscle behind our apartment portfolio. You'll work directly with our senior operations leader, learning how a real estate portfolio runs while handling the day-to-day coordination that keeps everything moving. Your job is to track priorities, follow up with tenants and partners, manage timelines, and flag issues before they become problems.

This is an entry-level position designed for someone smart and coachable who wants to learn how to manage a property portfolio. You'll develop deep knowledge of lease renewals, vacancy management, buyout workflows, and how to coordinate across multiple teams (legal, repairs, compliance, etc.).

Key Responsibilities
  • Maintain and update tracking systems for lease renewals, upcoming expirations, and renewal status

  • Track vacancy rates across the portfolio and monitor move-in/move-out timelines

  • Manage buyout workflows from beginning to end: research comparable units, prepare outreach materials, track negotiations, coordinate final documentation

  • Follow up with tenants on renewals, lease questions, and routine matters

  • Coordinate with legal, repairs, and compliance teams-get status updates, keep timelines on track, flag delays

  • Prepare reports and summaries for leadership on portfolio status, pending renewals, and operational issues

  • Learn the portfolio inside and out-building names, tenant histories, unit configurations, and the story behind each renewal or decision

What We're Looking For
  • Recent college graduate or someone with 0-2 years of relevant experience (or equivalent hustle)

  • Highly organized-you can juggle multiple priorities without dropping anything

  • Excellent communication skills-both written and verbal

  • Comfortable with spreadsheets, email, and standard office tools

  • Proactive and detail-oriented-you catch issues and communicate them early

  • Eager to learn real estate operations and willing to ask questions

  • Comfortable working in-person in Hartsdale, NY
