Reporting to the VP of Strategy and Enterprise Initiatives, this role serves as the operational backbone for cross-functional project coordination, meeting management, and contract governance activities. The ideal candidate thrives in a fast-paced environment, communicates clearly with stakeholders at all levels, and brings rigor and structure to complex, multi-workstream government programs.

Key Responsibilities

Project Governance & Contract Oversight

  • Track contract obligations, deadlines, and reporting requirements across multiple government programs
  • Maintain governance documentation, including charters, RACI matrices, risk logs, and decision registers
  • Monitor project health and flag risks, issues, or delays to leadership in a timely manner

Meeting Management & Stakeholder Coordination

  • Plan, schedule, and facilitate recurring governance meetings, steering committees, and working sessions with internal teams and government stakeholders
  • Prepare agendas, briefing materials, and pre-read documents in advance of key meetings
  • Capture meeting minutes, action items, and decisions; drive follow-up and accountability on open items
  • Serve as a primary point of coordination between Phlow teams and government program stakeholders

Reporting & Documentation

  • Develop and maintain status reports, dashboards, and executive summaries for leadership and government partners
  • Support preparation of materials for contract reviews, audits, and compliance checkpoints
  • Maintain organized, audit-ready documentation in accordance with government contracting standards

Cross-Functional Support

  • Partner with Strategy, Operations, Legal, Finance, and Program teams to ensure coordinated execution against contract requirements
  • Support the VP of Strategy and Enterprise Initiatives on special projects, strategic analyses, and enterprise initiatives as needed
  • Identify opportunities to improve project governance processes, tools, and templates
Requirements:

Required

  • Strong understanding of project governance practices (status reporting, risk management, meeting cadences)
  • Excellent written and verbal communication skills, with experience preparing executive-level materials
  • Highly organized, with strong attention to detail and the ability to manage multiple workstreams simultaneously
  • Proficiency in Microsoft Office (particularly PowerPoint/Slides, Excel/Sheets)

Preferred

  • Experience with project management tools (e.g., Smartsheet, MS Project, Asana, or similar)
  • Prior experience in pharmaceutical, life sciences, manufacturing, or public health sectors
  • PMP or similar project management certification
