We are seeking a Project/Account Manager to lead the day-to-day management and successful delivery of medical communications projects, including advisory boards, publications, clinical posters, speaker programs, patient materials, and events. You will serve as the primary client contact for assigned projects, manage timelines, budgets, and cross-functional teams, and ensure high-quality, compliant, and timely execution from start to finish.


The corporate office is located in Voorhees, New Jersey, just outside of Philadelphia. The role can be 100% remote, or partial in office, if desired.

Requirements:


Project Coordination & Execution

  • Lead assigned projects from initiation through completion (examples include exhibit booths, patient materials/programs, advisory boards, roundtables, teleconferences/webcasts, publications, clinical posters, monographs, newsletters, KOL activities, speakers’ bureaus, case studies, speaker training).
  • Ensure delivery meets client expectations, timelines, and budgets.
  • Develop and maintain project timelines, status reports, and tracking tools.
  • Conduct project launch meetings, coordinate ongoing activities, and manage close-out processes.
  • Delegate tasks and coordinate workflow to ensure timely, compliant completion.
  • Identify, assess, and proactively address risks, issues, and scope changes.

Client & Account Management

  • Serve as primary client contact for assigned projects; manage day-to-day communication and expectations.
  • Lead project status calls, prepare agendas, updates, and action items.
  • Respond to client questions and feedback professionally, escalating issues when necessary.
  • Build and maintain strong working relationships with clients, faculty, and external stakeholders.


Cross-Functional Collaboration

  • Coordinate internal and external resources for successful project execution.
  • Collaborate with Medical Strategy, Editorial, Creative, Meeting, IT & Web, Fulfillment, and Accounting teams.
  • Manage external vendors and freelance partners for logistics, production, and content development.


Budget & Financial Management

  • Develop, monitor, and manage project budgets aligned with approved scopes.
  • Track financials and forecast project spend in collaboration with finance/accounting.
  • Partner with internal teams to manage vendor costs and reconcile project financials.


Team Leadership & Mentorship

  • Mentor and support junior team members (Associate Project Managers, Project Coordinators).
  • Provide guidance, delegation, and constructive feedback to support professional growth and project efficiency.


Additional Responsibilities

  • Support engagement with faculty and Key Opinion Leaders (KOLs) as needed.
  • Travel up to 20%, including nights/weekends.
  • Perform other duties as assigned to support client and organizational goals.

  • Independent management of complex projects from start to finish.
  • Strong communication and relationship-management skills with internal teams and external clients.
  • Budgeting, timeline, and project reporting expertise.
  • Risk identification, prioritization, and multi-project management.
  • High attention to detail and strong organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).

Education & Experience

  • Bachelor’s degree preferred (Communications, Marketing, Business, or related field); relevant experience may be considered in lieu of a degree
  • 3-5 years of relevant professional or agency experience, preferably in medical communications, medical education, or related environments
