Job description

Foundation Assistant - Beacon Hill Foundation
Overview
The Assistant for the Foundation provides essential administrative, organizational, and communication support to advance the mission of the Foundation's philanthropic initiatives within the community and the Eastgate neighborhood. This role works with the Foundation Director to support fundraising efforts, donor relations, event coordination, and daily operations. This is a part time role offering 20-25 hours per week. The ideal candidate has an affinity for the senior population, is highly organized, detail oriented, and compassionate with a strong ability to manage multiple priorities while maintaining professionalism and confidentiality.
Key Responsibilities
1. General Support
  • Track & maintain donor and gift records, pledges, and event sponsorships ensuring accurate and confidential documentation. (Donor Perfect)
  • Prepare acknowledgment letters, thank-you notes, and donor mailings.
  • Liaise with marketing and external teams on Foundation publications and updates.
  • Provide logistical and administrative support for community programs, Foundation events, and meetings, including the annual golf outing.
  • Attend Foundation Board meetings and take notes
  • Provide administrative support to the Director for all fundraising appeals throughout the calendar year.
  • Assist and support the Foundation Director in the vision, strategy & planning of all fundraising aspects within the Foundation.
2. Recordkeeping & Data Management
  • Maintain organized paper and electronic files for the Foundation.
  • Assist in data entry, tracking reports, and generating summaries as needed.
  • Ensure data accuracy and confidentiality in all administrative systems.
3. Campaign and Special Projects Coordinator
  • Provide support to Foundation Director and volunteers with special projects and campaigns.
  • Assist in maintaining campaign/project materials.
  • Run special reports in relationship to volunteer/donor meeting needs.
  • Put together packets for solicitation materials.
  • Set up for all point of entry tours, including maintaining lists of who attends
  • Assist/Support Foundation Director with email communications & scheduling of various events at Beacon Hill and in the community.

4. Requirements
  • Bachelor's degree in non-profit leadership, communications, or a related field
  • 2-5 years of experience (preferred)
