There are 280 KIPP schools in 21 states and the District of Columbia serving more than 175,000 scholars and alumni. Job Summary:

The Executive Assistant, Chief Team provides high-level, strategic administrative and operational support to up to three Chiefs and their respective departments. This role is designed for a highly experienced executive assistant who can operate with discretion, sound judgment, and autonomy in a fast-paced, complex organization.

The Executive Assistant serves as a central coordination hub across multiple executive leaders, ensuring seamless calendar management, communication flow, meeting preparation, project tracking, and follow-through. This role requires advanced organizational skill, comfort navigating ambiguity, and the ability to anticipate needs across departments while maintaining strong relationships with internal and external stakeholders.

Job Responsibilities:

Executive & Departmental Support 45%

  • Provide proactive, high-level executive support managing complex and competing calendars, priorities, and deadlines.
  • Serve as a trusted thought partner and gatekeeper, ensuring executives are well-prepared for meetings, presentations, and engagements.
  • Draft, edit, and manage executive-level correspondence, presentations, briefing documents, and reports, many of which are confidential or time-sensitive.
  • Coordinate and prepare materials for leadership meetings, cross-functional work sessions, and external engagements.
  • Anticipate executive needs by tracking commitments, following up on action items, and ensuring alignment across departments.

Cross-Functional Coordination & Systems Management 35%

  • Act as a primary liaison between Chiefs, their departments, senior leaders, school leaders, board members, donors, and external partners.
  • Coordinate large-scale meetings, events, and special projects involving multiple departments or executives.
  • Develop and maintain systems to improve efficiency, organization, and information flow across the Chief Team.
  • Manage travel planning, expense reporting, and reimbursement processes for supported executives.
  • Research, prioritize, and route incoming requests and issues, determining appropriate action, escalation, or delegation.

Governance, Compliance & Special Projects 20%

  • Support board-related logistics and materials in partnership with Chiefs of Staff and relevant team members, ensuring compliance with posting and documentation requirements.
  • Facilitate executive signatures and processing of critical organizational documents, including financial, compliance, and governance materials.
  • Track and manage executive-level projects from conception through completion, ensuring deadlines and deliverables are met.
  • Provide ad-hoc regional office and administrative support as needed to ensure smooth operations.
Qualifications

Candidate Qualifications:

  • Bachelor's Degree or minimum of 7 years of professional experience, including at least 3 years supporting C-level or senior executives in a complex organization
  • Demonstrated experience supporting multiple senior leaders simultaneously
  • Exceptional organizational, time-management, and prioritization skills
  • Advanced proficiency in Microsoft Office and/or Google Workspace tools
  • Proven ability to handle confidential and sensitive information with discretion and professionalism
  • Strong written, verbal, and interpersonal communication skills
  • Ability to operate independently, anticipate needs, and thrive in a fast-paced, high-accountability environment

Compensation & Benefits:

Compensation for this role is aligned to Level 3 within the KIPP Atlanta compensation structure. Starting pay will depend on various factors, including but not limited to professional experience, education, training, and certifications. The current Level X band is $55,000 to $73,750. Most offers are in the lower to mid range and are at the company's sole discretion, based on the candidate's experience aligned with the role expectations. This allows us to provide a fair and equitable approach to compensation when setting pay and maintaining internal pay equity. New hires should not expect to come in at the top of the band.
