Job description

The individual in this pivotal role is charged with the efficient management of all company operations and provides direct, comprehensive personal assistance to the Owner/CEO, Jessica Roberts.


Operational Responsibilities:

  • Financial Administration: Oversee and manage all aspects of the company's financial transactions, including meticulous handling of accounts payable (processing invoices, ensuring timely payments to vendors) and accounts receivable (generating invoices, tracking client payments, and managing collection processes).
  • Client Project Management: Take ownership of the client ordering process, from initial inquiry and proposal generation through final delivery. This includes liaising with clients to confirm specifications, placing orders with suppliers, tracking shipment/delivery status, and ensuring client satisfaction.
  • Scheduling and Logistics: Manage the company-wide schedule, coordinating project timelines, internal meetings, and external client appointments. This requires a high degree of organizational skill to prevent conflicts and maximize productivity.
  • Vendor Relations: Serve as the primary point of contact for all company vendors and suppliers. This involves negotiating terms, managing contracts, resolving issues, and building strong, professional relationships to ensure a steady, reliable supply chain for all client projects and company needs.

Executive Assistance to Jessica Roberts, Owner/CEO:

  • Executive Support: Act as a dedicated personal assistant to Jessica Roberts, anticipating her needs and proactively managing her professional commitments and personal support requirements as they intersect with the business.
  • Travel and Itinerary Planning: Handle all corporate travel arrangements for the CEO and other relevant personnel.
