Job description

Executive Assistant

Location: Mobile, AL

Schedule: Monday to Friday, 7:00 AM to 4:00 PM

Pay Range: $55,000 to $65,000 annually


We are seeking a dependable, detail oriented Executive Assistant to support the Executive Director of a well established safety and workforce development organization serving the Gulf Coast industrial and construction community. This role goes beyond traditional administrative support and is ideal for someone who enjoys organizing complex information, managing projects, and offering thoughtful input as the organization continues to grow.


This is an in office position with consistent hours and occasional travel as needed.


Key Responsibilities

  • Provide executive and operational support to the Executive Director, helping manage priorities and track key initiatives
  • Assist with projects related to organizational growth and internal operations
  • Track and manage projects using Excel, including timelines, deliverables, and follow ups
  • Support light accounting tasks in QuickBooks, including reviewing payables, preparing deposits, and organizing documentation
  • Assist with content creation for internal materials, safety training support, and external communications
  • Help with social media and promotional efforts as required
  • Coordinate with internal staff and external partners, including vendors and subcontractors
  • Handle confidential and sensitive information with discretion and professionalism

Qualifications

  • Prior experience in executive support, senior administrative, office management, or operations support roles
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Proficiency with Excel, QuickBooks experience preferred
  • Professional communication skills and strong phone presence
  • Comfortable offering input, asking questions, and respectfully presenting alternate viewpoints
  • Reliable and punctual, with a commitment to working in office during core hours
  • Experience in industrial, construction, safety, or related professional services environments is a plus

Education

  • Bachelor’s degree in business, communications, marketing, or a related field preferred
  • Relevant experience considered in lieu of a degree
