Job Summary:
Reporting directly to the CEO, the Executive Assistant plays a critical role in enabling executive productivity by overseeing scheduling, travel coordination, and communications at the highest level. Acting as a trusted liaison between the CEO and key internal and external stakeholders, this position manages sensitive information with the utmost discretion. The Executive Assistant prepares executive-level materials, drives follow-through on strategic priorities, and ensures the CEO's day-to-day operations remain seamless and efficient.
Essential Duties/Tasks:
  • Oversee and manage the CEO's full calendar, coordinating meetings, appointments, and travel arrangements
  • Develop and prepare agendas, executive briefings, presentations, and reporting materials
  • Manage incoming calls, emails, and correspondence, routing or responding on behalf of the CEO as appropriate
  • Identify and address the CEO's needs ahead of time with a forward-thinking, solutions-oriented approach
  • Act as the central point of contact connecting the CEO with both internal teams and external partners
  • Facilitate and coordinate meetings involving senior leaders, board members, and key clients
  • Compose and refine written communications, including emails, memos, and executive correspondence
  • Support ongoing special projects, research initiatives, and strategic planning efforts
  • Monitor action items and deadlines, ensuring timely follow-up and completion
  • Contribute to the successful execution of organizational priorities and leadership objectives
  • Safeguard sensitive and confidential information with discretion and professionalism
  • Maintain a high standard of integrity in every interaction across the organization
  • Plan and coordinate meetings, executive events, and off-site engagements
  • Manage and maintain filing, documentation, and record-keeping systems
  • Handle expense reporting and assist with budget-related administrative tasks
  • Collaborate with internal staff at all levels and locations across the company.
  • Engage with external clients and stakeholders on behalf of executive leadership as needed.

Required Education and Experience:
  • Bachelor's degree required, Masters degree preferred.
  • 5+ years of experience supporting senior executives (preferably C-level)
  • Strong proficiency in tools like Microsoft Office
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Experience in a fast-paced or high-growth environment
  • Project management experience

Required License/Certifications
  • Must possess a valid/current U.S. Driver's License.
  • Must be able to pass a background check
  • Must have a clean MVR record
