Executive Assistant Position Summary

The Executive Assistant serves as a trusted partner to the Executive Leadership Team at Verity Integrated Systems, providing comprehensive administrative and operational support that enables executive leaders to remain focused on the strategic direction and growth of the company. As the central point of coordination for the Executive Office, the Executive Assistant helps leadership run efficiently through thoughtful planning, effective communication, and exceptional organization.

We're looking for a highly professional individual who exercises sound judgment, maintains absolute confidentiality, and anticipates the needs of executive leadership before they arise. The Executive Assistant is expected to manage competing priorities with composure, adapt quickly to changing business demands, and represent Verity with professionalism in every interaction with employees, customers, industry partners, and government stakeholders.

Position Responsibilities

The Executive Assistant manages the daily operations of the Executive Office by coordinating executive calendars, scheduling meetings, and ensuring that leadership time is aligned with the company's highest priorities. Rather than just arranging appointments, the Executive Assistant assesses competing demands, resolves scheduling conflicts, and helps protect executive time by making sure meetings and engagements support the organization's strategic objectives.

Serving as the primary administrative liaison for the Executive Leadership Team, the Executive Assistant manages executive correspondence, prepares presentations, briefing materials, reports, and other written communications, and ensures that information requiring executive attention is organized, accurate, and delivered in a timely manner. The position requires exceptional written communication skills and the ability to produce polished, professional documents that reflect the standards of the organization.

Preparation is a defining responsibility of the role. Before executive meetings, customer engagements, conferences, or public events, the Executive Assistant develops agendas, assembles briefing materials, gathers background information, and ensures leadership has the information necessary to make informed decisions and represent the company effectively. Following meetings, the Executive Assistant documents key decisions and tracks executive commitments to help ensure important actions are not overlooked.

The Executive Assistant coordinates all executive travel and logistical requirements, including transportation, lodging, conference registrations, itineraries, and expense reporting. Whether it's routine business travel or high-visibility customer engagements, this role ensures every detail is organized and executed professionally.

As Verity regularly engages with Department of Defense customers, industry partners, and senior government leaders, the Executive Assistant also coordinates executive visits and corporate events. This includes managing schedules, meeting logistics, visitor support, conference facilities, catering, and other arrangements that contribute to a positive and professional customer experience.

The position serves as the administrative hub for the Executive Leadership Team, working closely with every department across the company. The Executive Assistant coordinates information requests, facilitates communication between executives and staff, and helps ensure leadership decisions and priorities are communicated effectively throughout the organization. While the role is not responsible for program execution or project management, it plays a critical role in ensuring the Executive Office operates efficiently and remains connected to the rest of the company.

Continuous improvement is an important aspect of the position. The Executive Assistant is expected to identify opportunities to improve administrative processes, streamline executive workflows, standardize documentation, and leverage Microsoft 365 and approved productivity tools to increase efficiency across the Executive Office.

Qualifications

The successful candidate will have a minimum of five years of experience supporting senior executives or executive leadership teams, preferably within a defense, engineering, technology, or government contracting environment. The individual must possess exceptional organizational skills, outstanding written and verbal communication abilities, and the judgment required to manage highly confidential information with discretion and integrity.

Success in this role requires someone proactive rather than reactive.
