Executive Assistant to the CEO/President & NYC Office ManagerPosition OverviewThe Executive Assistant to the CEO/President & NYC Office Manager serves as a strategic time-multiplier for the CEO while anchoring the physical and operational footprint of RugsUSA's New York City workspace. This dual-scope position manages high-stakes C-suite administrative workflows, acts as a cross-functional liaison for multi-brand teams, and directly oversees NYC office operations.
Additionally, this individual provides ad-hoc administrative and cross-site logistics support to the Cranbury, NJ facility, ensuring unified communication and operational alignment between both corporate hubs.
This is a fully onsite role based in RugsUSA's New York City office. The Executive Assistant is expected to be physically present to support executive leadership, manage office operations, and foster collaboration across teams while maintaining regular connectivity with the Cranbury, NJ facility.
The ideal candidate has significant experience supporting a CEO, President, Founder, or other senior C-suite executive within a retail or e-commerce organization, possesses working knowledge of AI-powered productivity tools, and thrives in a highly visible, fully onsite role requiring exceptional judgment, responsiveness, and executive presence.
Essential Job Functions- Manage the CEO/President's complex calendar, priorities, and meeting cadence.
- Coordinate internal and external communications, including scheduling, follow-up, and correspondence.
- Prepare presentations, board materials, agendas, and meeting notes, and track action items to completion.
- Arrange executive travel, lodging, itineraries, and expense reports.
- Serve as a trusted liaison with senior leaders, board members, partners, and cross-functional teams.
- Support day-to-day office operations for the NYC workspace, including employee requests, access coordination, and general workplace needs.
- Help maintain alignment between the NYC office and the Cranbury, NJ facility through strong communication and logistics support.
- Assist with executive events, leadership meetings, and special projects as needed.
You Have- Ability and willingness to work full-time onsite in the New York City office, with flexibility to travel locally to the Cranbury, NJ facility as needed.
- Bachelor's degree in business administration, Communications, or a related field, or equivalent experience.
- 5 + years of experience supporting C-suite executives, preferably a CEO, President, Founder, or other senior executive within a retail, e-commerce, or high-growth consumer business environment.
- Experience supporting leadership within a founder-led, private equity-backed, or high-growth retail/e-commerce organization is strongly preferred.
- Demonstrated experience supporting executive leadership in a retail organization, with an understanding of retail operations, merchandising cycles, seasonal planning, and fast-paced business demands.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Excellent written and verbal communication skills.
- Proven ability to handle confidential information with professionalism and discretion.
- Advanced proficiency in Microsoft Office, especially Outlook, PowerPoint, Excel, and Word.
- Working knowledge of AI productivity tools and digital workflows, with the ability to leverage technology to improve efficiency, organization, communication, and output quality.
- Experience utilizing AI-powered tools to support executive workflows, research, content creation, scheduling, project management, and operational effectiveness.
- Ability to manage multiple priorities, solve problems independently, exercise sound judgment, and adapt quickly to changing business needs.
- Strong relationship-building skills with the ability to collaborate effectively across executive, corporate, and operational teams.

The pay range for this role is:
105,000 - 115,000 USD per year (Manhattan Office)
