We are seeking an elite, highly sophisticated House Manager & Executive Personal Assistant to serve as the primary coordinator for our CEO's properties and family operations.
This critical role demands an individual of uncompromising discretion, hyper-organization, and high personal accountability. Acting as the backbone of the household, you will anticipate needs before they arise, keep daily schedules running seamlessly, and maintain a 5-star standard across all residences. If you thrive in a fast-paced, autonomous environment where white-glove service meets meticulous project management, this position is for you.
Key Responsibilities
1. Estate Operations & Property Management
  • Property Upkeep: Oversee daily operations, routine inspections, and preventative maintenance schedules for primary and secondary residences to maintain a pristine, 5-star state.
  • Vendor & Staff Oversight: Act as the single point of contact for specialized contractors, domestic staff, and luxury service providers. Obtain quotes, schedule work, and ensure top-tier quality.
  • Domestic Readiness: Ensure residences are fully stocked, prepared, and operational for family use, guest hosting, or travel turnover.
  • Document Control: Maintain secure physical and digital systems for warranties, utility records, vendor contracts, and household operating manuals.

2. Daily Family Logistics & Household Care
  • Cleaning & Housekeeping Coordination: Schedule maid services (Mondays/Fridays) and manage laundry needs. Perform light daily touch-ups (dishes, wiping counters, bathroom/kitchen reset) before ending the workday.
  • Shopping & Errands: Proactively handle weekly grocery shopping (Mondays/Fridays before the weekend), gift procurement, and general family errands.

3. Luxury Asset & Fleet Logistics
  • Fleet & Marine Care: Oversee detailing, routine maintenance, DMV paperwork, and servicing for an elite fleet of vehicles, boats, and jet skis, ensuring all assets are road/water-ready.

4. Events
  • Event Planning: Coordinate private social gatherings, weekend excursions, and holiday celebrations from concept and vendor setup to teardown.

5. Financial Management & Administration
  • Expense Tracking: Manage household billings, process wire transfers, reconcile high-limit credit cards, track project budgets, and submit monthly expense reports in coordination with the CEO's corporate financial team.

Qualifications
  • Experience: 3-5 years of proven experience in Executive Assistance AND 3-5 years in Personal/Household Assistance for high-net-worth individuals or executives.
  • Technical Skills: Proficient in Microsoft Office Suite and Google Workspace.
  • Driving Record: Valid Driver's License with a clean motor vehicle record.
  • Travel: Willingness to travel up to 15% as needed.
