Junior Personal Assistant
Location: Manhattan, New York
Position: Full-Time
Schedule: Hybrid (Split between WFH and the Manhattan office based on business needs and weekly priorities)
Salary: $75,000 annually
Seeking a highly organized, proactive Personal Assistant to support two creative executives. This position reports to their Executive Assistant and provides day-to-day administrative and logistical support across a wide variety of personal projects and responsibilities. This is an ideal opportunity for someone early in their career who is self-motivated, enjoys creating order, and takes pride in anticipating needs. Flexibility is essential, as the schedule will be split between working from home and the Manhattan office depending on business needs and weekly priorities.
Responsibilities
- Run personal and household errands.
- Support confidential long-term and short-term personal projects.
- Provide general administrative support, including research, data entry, scanning, copying, and maintaining both physical and digital filing systems.
- Maintain and update household files and records.
- Maintain the office pantry, coordinate lunch orders, and ensure snacks and beverages are stocked throughout the day.
- Coordinate grocery orders and household supplies for multiple residences.
- Research, book, and reconfirm personal appointments, dining reservations, theatre tickets, and other reservations as directed.
- Coordinate personal shopping, returns, pickups, exchanges, and deliveries while maintaining accurate tracking records and purchase history records.
- Manage gifting from start to finish, including sourcing, purchasing, wrapping, and delivery coordination.
- Coordinate and communicate schedules for the driver and pet sitter.
Qualifications
- Bachelor's degree.
- Must be able to easily commute to the Manhattan office, including on short notice when needed.
- Previous internship or at least three years of professional experience in an administrative, personal assistant, hospitality, or client service environment is preferred but not required.
- Exceptionally organized with outstanding attention to detail.
- Excellent written and verbal communication skills.
- Highly proficient in Google Workspace (Gmail, Calendar, Docs, and Sheets).
- Tech-savvy and comfortable troubleshooting phones, televisions, computer apps, and other everyday technology.
- Knowledge of New York City and its resources; resourceful, proactive, and solutions-oriented with excellent follow-through.
- Collaborative and enjoys working as part of a close-knit team.
- Positive, flexible attitude with a willingness to tackle responsibilities large and small.
