Job description

Location: On-site in Santa Rosa, CA.

POSITION SUMMARY:

Oversees and directs the Bank’s facilities function, including the maintenance, functionality, and long-term sustainability of buildings, mechanical systems, and infrastructure. Manages facility operations, lease administration, renovations, design planning, construction projects, and capital project planning. Oversees building systems, and manages relationships and transactions with landlords, developers, vendors, and contractors to ensure facilities support business needs and regulatory requirements. 

POSITION TYPE & SCHEDULE: 

Full-time, exempt. Typical business hours are Monday through Friday, with flexibility required based on business needs of the Bank.

ESSENTIAL FUNCTIONS

Facilities and Purchasing 60%:

  • Work directly with executive management to hire and work with the architect and interior designer to plan new facilities and present designs to executive management. 
  • Plan, oversee, recommend, and coordinate the activities involved in constructing, repairing and renovating the Bank's various buildings and facilities. 
  • Manage leasing activities of the Bank (excluding computer-related items). This includes conducting evaluations of purchase requests, selecting vendors, product procurement, and receiving and billing processing. 
  • Direct the facility staff and approve recommendations concerning renovation, repair, or replacement needs. 
  • Ensure effective delivery and management of Warehouse functions and supply of goods and services. 
  • Design, communicate, and facilitate effective move management processes to minimize disruption to operations and employees. 
  • Evaluate space planning options and vendors, recommend options that meet the space and project cost requirements. 
  • Provide leadership for facility compliance with the Americans with Disabilities Act, including completing building inspections, identifying related projects, and initiating improvement projects to ensure equal access to our building locations. 

Management 30%:

  • Schedule staff and assign work to meet superior service and work plans
  • Recruit, select, train, and provide leadership and performance feedback for direct reports 
  • Recommend wage adjustments, staffing, and work assignments 
  • Conduct regular staff and coaching meetings with direct reports 
  • Establish goals and work plans consistent with Bank needs and monitor progress 
  • Responsible for department budget  
  • Recommend methods and procedures to improve department efficiency. 
  • Attend internal and external management meetings and represent the Bank at external functions and activities. 
  • Member of the Safety Committee 

Non-Essential Functions 10%:

    • Perform special projects and research as assigned

Minimum Qualifications:

  • Bachelor's degree in business administration or related field; or an equivalent combination of education and experience typically gained through a minimum of five years' experience in facilities management and purchasing including two years managerial experience
  • Valid driver's license

Required Knowledge, Skills and Abilities:

  • Knowledge of facilities management, vendor management, supplier contracts, leases, purchasing and planning
  • Basic knowledge of building construction, building maintenance and office equipment
  • Skills operating a personal computer including word processing, spreadsheet and project software
  • Strong negotiation skills
  • Basic mathematical calculation skills
  • Ability to attend early morning and evening meetings

Physical Requirements:

Ability to stand, bend, stoop, sit, walk, twist and turn. Ability to lift up to 15 pounds occasionally. Indoor office work environment with a majority of time sitting at a desk

Compensation & Benefits

 The compensation range for this position is $115,867 to $150,000 annually. The compensation offered will fall within this range, commensurate with the candidate's applicable experience, education and skills.
