Opportunity

Position Summary

The Executive Administrative Assistant provides high-level, proactive support to the Chief Legal Officer & Corporate Secretary (CLO). This role is critical to enabling operational excellence across Kohler’s Legal, Compliance & Ethics, Government Affairs, Internal Audit, Global Security, and Corporate Communications functions. Acting as a trusted partner to the CLO, the Executive Administrative Assistant supports enterprise governance priorities, anticipates needs, and ensures effective execution in a complex, fast-paced environment.

The role serves as a key coordinator of executive activities, leadership forums, Board of Directors meetings, and Corporate Secretary responsibilities. Success in this position requires exceptional judgment, discretion, organizational skills, and the ability to manage sensitive legal, governance, and business matters with professionalism and confidentiality.

Key Responsibilities

Executive Partnership & Administrative Excellence

  • Serve as a strategic administrative partner to the CLO, managing a highly complex calendar, travel schedule, meeting cadence, and executive priorities across multiple functions and global time zones.
  • Anticipate executive needs and proactively resolve scheduling conflicts, ensuring the CLO’s time is aligned with enterprise priorities, governance responsibilities, and business objectives.
  • Maintain the highest level of confidentiality and professionalism in handling sensitive legal, compliance, governance, personnel, and business information.
  • Prepare daily, weekly, and meeting briefing materials to ensure executive readiness and efficient decision-making.
  • Operate 60–90 days ahead across the calendar to anticipate critical milestones, governance deadlines, Board requirements, travel needs, and potential conflicts.

Communication, Coordination & Relationship Management

  • Act as a key liaison between the CLO and senior leaders, Board members, external counsel, regulatory bodies, and enterprise stakeholders.
  • Draft, edit, and format executive-level communications, presentations, reports, Board materials, and correspondence reflective of Kohler’s leadership standards.
  • Facilitate effective communication and coordination across Legal, Compliance, Internal Audit, Government Affairs, Global Security, Corporate Communications, and other enterprise functions.
  • Build and maintain strong working relationships across all levels of the organization while demonstrating sound judgment and executive presence.

Board of Directors & Corporate Secretary Support

  • Provide administrative support for the Corporate Secretary function and Board governance processes.
  • Coordinate logistics for Board of Directors meetings, committee meetings, Board retreats, and director education sessions.
  • Assist in the preparation, organization, review, and distribution of Board books, agendas, resolutions, minutes, and governance materials.
  • Maintain Board calendars, meeting schedules, director contact information, and governance records.
  • Coordinate meeting logistics and travel arrangements for directors and executive leadership as required.
  • Track Board action items, resolutions, approvals, and follow-up activities to support effective governance and accountability.
  • Support annual governance activities, including director onboarding, Board evaluations, governance calendars, committee charters, annual meeting preparation, and corporate record management.
  • Manage confidential Board and governance information with the highest degree of discretion and professionalism.

Meeting, Forum & Event Management

  • Coordinate and support executive leadership meetings, governance forums, legal leadership meetings, staff meetings, Board activities, strategic offsites, and enterprise reviews.
  • Develop agendas, compile materials, maintain action item trackers, capture meeting minutes, and ensure timely follow-up on commitments and decisions.
  • Facilitate leadership operating rhythms that drive accountability, strategic alignment, and disciplined execution.
  • Manage logistics for executive events, leadership conferences, governance meetings, and special projects.

Business & Operational Support

  • Assist with budget tracking, expense management, invoice processing, and administrative approvals in alignment with Kohler policies and financial stewardship.
  • Support onboarding and integration of senior leaders, attorneys, and key hires across the CLO’s functions.
  • Maintain organized files, records, and document repositories for governance, legal, and executive matters.
  • Identify opportunities to streamline administrative processes, enhance organization, and improve overall effectiveness.

Initiative & Project Support

  • Provide coordination and administrative support for strategic initiatives sponsored by the CLO.
  • Track milestones, deliverables, actions, and timelines across multiple enterprise priorities.
  • Support special projects related to governance, legal operations, compliance programs, executive communications, leadership development, and enterprise transformation initiatives.

Working Conditions

  • Primarily office-based, with flexibility based on business needs.
  • Occasional extended hours to support Board meetings, executive leadership activities, governance deadlines, and global operations.
  • Limited travel may be required in support of Board meetings, leadership retreats, and executive offsites.

Skills/Requirements

  • 5+ years of experience supporting C-suite executives, senior leaders, Board members, or governance functions in an executive administrative role.
  • Demonstrated ability to manage competing priorities in a complex, fast-paced environment with professionalism and agility.
  • Outstanding organizational, communication, and interpersonal skills.
  • Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, Word, PowerPoint, Excel, and collaboration tools.
  • Exceptional attention to detail and ability to manage highly confidential information with sound judgment and discretion.
  • Strong project coordination and meeting management capabilities.

Preferred Qualifications

  • Experience supporting a Chief Legal Officer, General Counsel, Corporate Secretary, Chief Executive Officer, or other senior executive.
  • Experience supporting Board of Directors activities, corporate governance processes, or executive-level meetings.
  • Familiarity with legal, compliance, audit, governance, or public company environments.
  • Strong executive presentation and Board material preparation skills.
  • Experience working in a complex, global, matrixed organization.
