Position Overview:
The Accounting Executive Assistant to the Chairman of the Board is a high-level strategic role that combines executive support with specialized accounting and financial responsibilities. This role requires proficiency in financial documentation, advanced Excel skills, financial reporting and analysis expertise and the ability to manage projects independently while anticipating organizational needs.
Essential Functions and Key Responsibilities:
  • Work closely and effectively with the Chairman of the Board.
  • Prepare accurate sales reports for all store locations.
  • Prepare complex financial reports and spreadsheets.
  • Assist with invoices and expense reporting.
  • Support in management of financial documents to store leases.
  • Assist with arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
  • Interact professionally with internal and external executives.
  • Composing and preparing correspondence.
  • Maintain strict confidentiality of sensitive information and communications.
  • Handle matters proactively, efficiently, with strong follow-through to successful completion, often under tight deadlines.
  • Manage incoming and outgoing electronic communications on behalf of executive team.
  • Assist in preparing presentations, reports and related materials.
  • Organize meetings, including scheduling, sending reminder and organizing catering when necessary.
  • Collaborate extensively with C-level executives, SVPs, VP's and other leaders throughout the company.
  • Oversee general office responsibilities, including replenishing office materials as needed, sorting mail, maintaining record management, and assist with day-to-day projects.
  • Assist with company events as needed.
  • Perform additional projects and duties as assigned by the Chairman of the Board.

Qualifications/Basic Job Requirements:
  • Bachelor's degree in Business, Accounting, or a related field preferred; equivalent experience will be considered.
  • 3-5 years of executive assistant experience supporting C- level executives or senior leadership.
  • Strong experience in financial reporting and analysis.
  • Advance Excel skills with the ability to manage data and generate reports.
  • Proven ability to handle a broad range of executive and administrative support responsibilities independently with minimal supervision.
  • Ability to work effectively in a fast-paced environment while remaining flexible, proactive, resourceful, and professional.
  • Exceptional discretion and ability to maintain confidentiality.
  • Excellent written and verbal communication skills, strong decision-making abilities, and meticulous attention to detail.
  • Friendly, outgoing and professional demeanor with a positive, can-do attitude.
  • Strong listening and communication skills with ability to effectively convey information both verbally and in writing.
  • Demonstrated stamina, drive and perseverance to manage pressure and consistently meet deadlines.
  • Ability to manage multiple priorities and quickly adapt to changing business needs.
  • Experience leading or supporting professional research projects as needed.
  • Willingness and flexibility to work overtime, when necessary.
