We are seeking a Chief Executive Officer - Executive Assistant - reporting to our CEO where you will become part of a compassionate, collaborative community dedicated to serving residents with dignity, respect, and heartfelt connection.

In this vital role, you will provide high-level administrative support to our CEO, CFO and VP of Operations, to ensure smooth daily operations and help advance the mission of St. Camillus. Regular work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m. Occasional additional hours, as needed, for special events.

Essential Job Functions

  • Manage and maintain the CEO, CFO and VP of Operations schedules
  • Prepare, review, and edit correspondence, reports, and presentations, ensuring accuracy, clarity, and appropriate tone
  • Provide high-level administrative and executive support, including managing complex calendars, scheduling meetings, coordinating travel, and handling confidential correspondence
  • Prioritize and manage competing demands, adjusting to shifting priorities while maintaining attention to detail and quality
  • Assist with special projects, conducting research, compiling data, tracking deadlines, and ensuring timely completion of deliverables
  • Coordinate and support Board of Directors, their committee meetings, executive-level meetings, including agenda development, material preparation, minute taking, follow-up on action items, and communication of decisions
  • Coordinate logistics for events, presentations, and off-site meetings, including vendor coordination, arranging meeting rooms, planning catering, and expense tracking if needed
  • Manage sensitive and confidential information with the highest degree of discretion, always maintaining trust and confidentiality
  • Assists in maintaining our printers throughout campus and maintains office supplies inventory and order as needed
  • Processing invoices via Sage and reconciling CEO, CFO and VP of Operations credit card statements
  • Build positive relationships with internal and external clients as a direct representation of the CEO, CFO and VP of Operations
  • Performs other duties, as assigned

Qualifications

  • Minimum 5+ years of senior-level administrative support experience, preferably in a non-profit setting
  • Strong interpersonal communication skills, both written and verbal
  • Proven customer service excellence
  • Ability to thrive in a fast-paced environment with shifting priorities
  • Minimum typing speed of 60 wpm
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Experience preparing statistical reports, charts, graphs, tables, and using Excel formulas
  • Knowledge of administrative procedures, office systems, and professional documentation standards
  • Strong command of English grammar, composition, and written clarity
