Position Description:

This position provides administrative, business and personal assistance to the President and Ownership group, leveraging excellent interpersonal skills, discretion, judgment, confidentiality, organizational ability and initiative.



Specific Duties and Responsibilities:

  • Manage, plan, and organize heavy calendaring for internal and external meetings, reservations and events.
  • Coordinate travel arrangements including flights, hotels and car service as requested and prepare detailed itineraries (business and personal).
  • Compose, type, and prepare correspondence, memos, presentations, confidential materials, etc. of the highest quality, on behalf of the President.
  • Ownership liaison, i.e., oversee home/road ticket requests, credential requests and ownership guest/family game day needs. Travel as needed for road games to ensure seamless ownership experience.
  • VIP liaison, i.e., oversee arrival, tickets, and escort needs throughout game.
  • Manage the Trophy Room (owner suite), on game days i.e., guest list, inform Levy of any food and beverage issues, communicate specific owner food and beverage requests to Executive Chef (Kosher), etc.
  • Communicate with high level contacts both inside and outside the company such as vendors, customers and ownership.
  • Handle comp ticket requests and send to appropriate contacts.
  • Perform general office duties, i.e. expense reports, check requests, DocuWare approvals, answer phones, copy, scan, etc.
  • Handle sensitive and confidential information.
  • Manage President’s game tickets for season.
  • Order office supplies, food and UPS items as needed.
  • Monitor incoming mail.
  • Prepare and submit all Milwaukee Lobbying Principal Expense Statements and registrations.
  • Handle Summer League travel and ticket needs.
  • Oversee private aviation account.
  • Submit autograph session requests on behalf of the President and Ownership.
  • Availability to support operations beyond regular business hours, including evenings, weekends, and urgent situations.


Qualification Requirements:

  • Minimum of two year degree in Business Administration or five years in equivalent work experience as Executive Assistant
  • Basic knowledge/understanding of risk management
  • Computer literacy within a Windows environment
  • Strong customer relations and communications skills (verbal and written) and experience in project/process supervision
  • Articulate, proactive and forward thinking
  • Judgment to independently handle a variety of administrative details and confidential matters with the highest level of integrity
  • Outstanding organizational skills
  • Capable of managing multiple priorities in a dynamic, ever-changing, and stress-filled environment
  • Valid driver’s license
