Job Summary:

The Executive Assistant will support the President of ZOLL Resuscitation and Vice President of Global Sales. The Executive Assistant will embody the values of ZOLL in interactions with our leaders and our staff. Responsible for a wide range of admin and executive support related tasks. Able to work independently with little or no supervision. A strong service attitude, excellent written and oral communication skills, detail orientation and consistent follow-through are critical for success in this role. The ability to interact with all staff sometimes under pressure, remain flexible, and able to work extended hours on an infrequent but as-needed basis. Being proactive, resourceful, and efficient, with a high level of professionalism and confidentiality are crucial for success. This person must be someone who takes pride in his or her work, is perceptive, extremely competent, quick, and eager to be always two steps ahead.

Essential Functions:
  • Partners with executive(s) to help them be more efficient and effective with their time, consistently maintaining strong communication.
  • Demonstrate ability to anticipate needs and situations before they are fully developed and the confidence to bring suggestions forward.
  • Act as a intermediary and make informed decisions to include prioritization of meetings and managing scheduling conflicts, keep the executive(s) informed of changes and on schedule; prepare meeting materials such as presentations, graphs, and charts, obtain materials in advance, distribute materials.
  • Organize and ensure all department projects remain on track, teams are aligned, and deliverables are communicated and on time.
  • Propose ideas to impact employees and the Company culture by listen, inform, and communicate a clear understanding of the company culture and business initiatives.
  • Review incoming correspondence to flag important items and ensure efficient allocation of the President's time; may highlight information of interest and/or curate reading material.
  • Coordinate travel arrangements as requested, anticipate upcoming needs. Use corporate tools and policies to book airline, hotel, and ground transportation reservations. Work to optimize the arrangements per the preferences of the individual within company guidelines. Prepare itineraries. Monitor critical travel situations (e.g., severe weather delays) to ensure travel is accomplished as smoothly as possible.
  • Coordinate meetings including some held off site. Arrange for external visitors (including all logistics). Act as a host as needed.
  • Prepare correspondence to internal/external parties. Resolve daily operational problems, maintaining highest customer service standards internally and to ZOLL customers.
  • Special projects as requested or sought for Admin and other departments as needed.
  • General administrative tasks; database entry, expense report processing, purchase orders, credit card reconciliation filing, answering calls etc.
Skills and Experience Requirements:
  • 10+ years' experience supporting at the executive level, highly preferred
  • Bachelor's degree or equivalent work experience preferred
  • Meticulous attention to detail and strong planning and forward-thinking capabilities
  • Self-directed prioritization of work and projects; demonstrates measurable progress through open communication to leaders and team members consistently and with highest quality.
  • Highly developed written and verbal communication skills
  • Proactive, collaborative, detail oriented, highly organized, with a desire to offer creative
  • problem solving solutions
  • Ability to bring together different points of view, drive toward consensus, overcome barriers, and move things forward
  • Experience scheduling travel arrangements for management
  • Excellent calendar management skills, including the coordination of complex meetings
  • Strong interpersonal and communications and exemplary planning and time management skills
  • Excellent knowledge of MS Office (i.e., Word, Excel, PowerPoint, Outlook)
  • Work independently while interacting with and advising employees of all levels of the organization
  • Discretion and confidentiality
  • 5% travel
