Description:
We are seeking a highly experienced, proactive, and strategic Manager, Executive Services to lead the Executive Support function while personally delivering high-touch executive support to assigned senior leaders.
This is a working manager role. The Manager, Executive Services is expected to personally provide day-to-day executive support, including calendar management, travel coordination, expense management, meeting preparation, and follow-through-alongside leadership responsibilities for the Executive Assistant team and Facilities Administrator.
This role leads the Executive Support function, providing day-to-day leadership to the Executive Assistant team and Facilities Administrator while personally delivering high-touch executive support to assigned senior leaders. Responsible for setting standards of excellence, driving operational effectiveness, and ensuring a seamless executive and workplace experience.
Leading a small team while remaining directly engaged in executive support, this working manager establishes service standards and operating models, develops organizational capabilities, and ensures consistency across executive support services. The successful candidate will foster collaboration, operational rigor, and excellence in execution while leveraging modern technologies, automation, and AI-enabled tools to continuously improve how executive support and workplace services are delivered.
This role partners closely with the CEO's Management Assistant, People & Organization, Corporate EHS, Finance, IT, Communications, and senior business leaders to deliver an exceptional executive and workplace experience.
Work Location & Schedule
  • This position is based on site at our Siemens Asset Management Software USA office in Raleigh, North Carolina and requires in-office attendance Monday through Friday during standard business hours. Relocation assistance will not be provided.
  • Due to the highly collaborative nature of supporting executive leadership, regular in-person partnership is essential to success in this role.
  • Additional flexibility may be required to support executive schedules, leadership meetings, and key business priorities.

You'll make an impact by:
Working Manager Scope
  • Personally support assigned senior leaders with complex calendar management, travel planning, expense processing, meeting logistics, briefing materials, and proactive follow-up.
  • Balance hands-on executive assistant responsibilities with people leadership, prioritizing executive needs while maintaining team standards and operational continuity.
  • Model the expected level of professionalism, discretion, responsiveness, judgment, and service excellence for the Executive Support function.

Executive Support Leadership
  • Lead and manage the centralized Executive Support function while remaining actively engaged in direct executive support for assigned senior leaders.
  • Directly manage, coach, develop, and evaluate Executive Assistant(s) and the Facilities Administrator.
  • Assign executive support responsibilities and balance workloads based on business priorities and executive needs.
  • Establish executive support standards, service expectations, operating procedures, and best practices.
  • Create and maintain service standards and key performance indicators for Executive Support services.
  • Regularly assess executive satisfaction and team effectiveness, identifying opportunities for improvement and enhancement.
  • Foster a collaborative, high-performing, customer-focused culture built on professionalism, accountability, confidentiality, and continuous improvement.
  • Oversee hiring, onboarding, coaching, performance management, succession planning, and professional development for the Executive Support team.
  • Develop capability-building programs, onboarding frameworks, and best practices that elevate Executive Support into a strategic business partnership function.
  • Serve as the escalation point for complex executive support challenges and sensitive organizational issues.
  • Coordinate administrative coverage to ensure business continuity during planned and unplanned absences.
  • Partner closely with regional support teams to ensure global consistency in administrative and operational practices.

Executive Effectiveness & Executive Operations
  • Provide proactive executive assistant support and partner with Executive Leadership Team members to improve organizational effectiveness, leadership team alignment, and operational execution.
  • Establish and oversee executive operating rhythms, including leadership meetings, quarterly business reviews, annual planning cycles, strategic off-sites, and executive forums.
  • Oversee planning and coordination for Executive Leadership Team meetings, Board meetings, executive off-sites, leadership summits, and enterprise-wide leadership events.
  • Develop governance processes that strengthen accountability, decision tracking, communication flow, and execution of leadership priorities.
  • Ensure executive commitments, action items, and strategic initiatives are effectively coordinated and monitored through completion.
  • Drive consistency in executive support processes, communication standards, and operational execution across all supported executives.
  • Partner with Executive Assistants to optimize executive time management, prioritization, meeting effectiveness, and organizational impact.
  • Evaluate executive support practices and identify opportunities to increase executive productivity and effectiveness.
  • Collaborate closely with the CEO's Management Assistant to ensure seamless coordination for CEO-related leadership meetings and enterprise initiatives.
  • Support planning and execution of Board-related activities, governance processes, and senior leadership commitments as assigned.

Workplace Experience & Facilities Operations
  • Provide strategic leadership and oversight for workplace operations at the Raleigh headquarters.
  • Manage the Facilities Administrator and oversee office operations, facilities services, workplace vendors, and building management relationships.
  • Develop workplace experience standards that support collaboration, employee engagement, productivity, inclusion, and service excellence.
  • Ensure an exceptional workplace experience for employees, executives, customers, business partners, and visitors.
  • Oversee executive visits, customer meetings, leadership events, workplace hospitality programs, and office experience initiatives.
  • Manage workplace-related budgets, vendor relationships, service contracts, and operational expenses.
  • Lead planning for office improvements, space utilization, workplace modernization initiatives, and operational efficiencies.
  • Partner with workplace vendors and service providers to ensure service delivery standards are consistently achieved.

Environmental, Health & Safety (EHS)
  • Serve as the business owner for office Environmental, Health & Safety (EHS) programs in partnership with Corporate EHS through the Siemens USA Service Level Agreement.
  • Provide oversight and leadership for workplace safety initiatives, emergency preparedness, office safety inspections, ergonomics programs, and employee awareness efforts.
  • Ensure compliance with company policies, regulatory requirements, and workplace safety standards.
  • Monitor completion of required EHS training, documentation, inspections, and compliance reporting requirements.
  • Support incident response coordination, business continuity planning, and workplace safety communications as needed.

Technology, Automation & AI Enablement
  • Champion adoption of modern workplace technologies, workflow automation tools, and AI-enabled productivity solutions.
  • Identify opportunities to automate administrative processes and improve executive support efficiency through technology.
  • Partner with IT and business stakeholders to implement tools that enhance collaboration, communication, and productivity.
  • Establish best practices for leveraging Microsoft 365, Teams, Copilot, workflow automation technologies, and other productivity platforms.
  • Measure and communicate improvements in productivity, operational efficiency, and employee experience resulting from technology adoption.
  • Lead continuous modernization of Executive Support and workplace operations practices.

Business Management & Continuous Improvement

The pay range for this position is $91,463 - $156,794 annually with a target incentive of 15% of the base salary. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
