Position Overview

We are seeking an experienced Executive Administrative Assistant to provide high-level administrative and operational support to several members of the Executive Leadership Team (ELT). This individual will serve as a key partner to executive leaders, ensuring seamless communication, scheduling, meeting coordination, and administrative support across the organization.


This role operates within a fast-paced manufacturing environment and requires exceptional judgment, professionalism, confidentiality, and the ability to manage multiple priorities simultaneously. The ideal candidate is proactive, highly organized, and experienced supporting senior executives in a manufacturing, industrial, logistics, engineering, or similarly operational business environment.


Important: This position requires a consistent onsite presence to effectively support executive leadership, business operations, and organizational activities. Remote or hybrid work is not available.


Key Responsibilities

Executive Leadership Support

  • Provide administrative support to multiple Executive Leadership Team members while balancing competing priorities.
  • Manage complex executive calendars, scheduling meetings, resolving conflicts, and anticipating leadership needs.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and travel documentation.
  • Prepare and process executive expense reports accurately and in a timely manner.
  • Organize executive meetings, leadership offsites, town halls, and strategic planning sessions.
  • Create meeting agendas, presentation materials, supporting documentation, and meeting minutes.
  • Track executive action items and monitor progress on key initiatives.
  • Serve as a liaison between executives, department leaders, employees, vendors, customers, and external business partners.
  • Prepare, edit, format, and proofread executive presentations, reports, correspondence, and other communications.
  • Handle highly confidential organizational, financial, strategic, and operational information with discretion.


Executive Events & Office Coordination

  • Coordinate executive meetings, leadership events, customer visits, and company functions.
  • Assist with planning and logistics for executive offsites and strategic planning activities.
  • Maintain executive office areas and conference room readiness.
  • Coordinate office supply purchasing and ensure administrative resources are adequately stocked.


Continuous Improvement

  • Anticipate executive needs and proactively identify opportunities to improve administrative processes and operational efficiency.
  • Recommend and implement process improvements that enhance executive support functions.
  • Support special projects and additional administrative responsibilities as assigned.


Required Qualifications

Experience

  • Minimum of 8 years of progressively responsible executive administrative support experience.
  • Experience directly supporting senior executives and/or Executive Leadership Teams.
  • Proven ability to support multiple executives simultaneously in a complex, fast-paced environment.
  • Experience handling highly confidential and sensitive business information.
  • Manufacturing, industrial, engineering, logistics, or other operational industry experience is required or strongly preferred.
  • PMP certification is a plus.
