What are the key skills and qualifications needed to thrive in the Executive Assistant Startup position, and why are they important?

To thrive as an Executive Assistant in a startup, you need exceptional organizational skills, multitasking abilities, and a strong foundation in administrative support, often backed by relevant experience or a degree in business or administration. Familiarity with digital productivity tools like Google Workspace, Slack, project management platforms, and calendar scheduling systems is highly valuable. Flexibility, proactivity, and excellent communication make candidates stand out in this dynamic and often fast-changing environment. These skills are crucial because startup settings demand rapid adaptation, autonomous decision-making, and effective coordination to keep operations running smoothly.

What does an Executive Assistant do in a startup?

An Executive Assistant in a startup provides high-level administrative support to executives, helping with scheduling, communications, project management, and strategic tasks. Unlike traditional corporate roles, startup EAs often wear multiple hats, assisting with operations, hiring, and even fundraising. They must be adaptable, proactive, and skilled at problem-solving in a fast-paced, evolving environment. Strong organizational skills and the ability to handle confidential information are essential.

What is it like to support executives in a startup compared to a larger, established company?

Working as an Executive Assistant in a startup environment often means you'll wear many hats and have a broader range of responsibilities than in larger companies. You may find yourself helping with everything from scheduling and travel arrangements to event planning, internal communications, and even light project management. The pace is typically fast, and priorities can shift quickly, requiring flexibility and quick thinking. You'll work closely with founders or senior leaders, providing a unique opportunity to see how key business decisions are made up close. This exposure can accelerate your professional development and open pathways to higher leadership or operations roles in the future.

Job description

Sage is on a mission to improve care and quality of life for older adults, starting with those residing in senior living facilities. Falls are the leading cause of injury-related death among adults over 65. And yet, fall prevention and emergency response systems for older adults are archaic and ineffective. At Sage we've built a more modern way of understanding when older adults need help, including methods for residents to alert caregivers when in need of help, and corresponding software for caregivers to triage response. Our company mission is to create a product that our client counterparts love, and this role is a key part of that objective.

Sage is a small, tight team of ambitious, multi-disciplinary entrepreneurs. We are a software-enabled, mission-driven company, and are focused only on the problems that are central to achieving that mission. At Sage, we work hard and fast but also know that to build a truly important company, we need to treat our work as a marathon, and not a sprint. The journey matters.

About this Role

Sage is seeking an Executive Assistant to support two members of our C-suite and company operations. This is not a traditional administrative role - we're looking for a proactive operator and trusted thought partner who can make sound, independent judgment calls on behalf of the executives they support, and who has already proven they can operate at this level in a fast-moving, high-growth environment.

You will manage and optimize time, communications, and key operational workflows, while contributing to a seamless and thoughtful experience for employees, candidates, and external stakeholders. This role requires working at the office in Union Square every Tuesday-Thursday.

Some examples of the work you'll be doing on any given day include...

Support our C-Suite:

Provide dedicated support to two members of Sage's C-suite, anticipating needs and enabling them to focus on strategic priorities and company growth. Act as a trusted partner who brings structure, clarity, and foresight to daily operations - and who is comfortable making real-time decisions on their behalf when they're unavailable, rather than waiting for direction.

Manage complex calendars:

Own and optimize calendars by prioritizing, sequencing, and protecting time in alignment with company priorities. Proactively resolve conflicts, ensure meetings have clear purpose and context, and drive efficient use of time across both professional and personal commitments.

Travel Management:

Arrange seamless domestic travel, including end-to-end logistics, itineraries, and real-time problem solving to ensure a smooth and efficient experience.

Stakeholder Management & Communications:

Serve as a primary point of contact for internal and external stakeholders. Manage communications with clarity and intention, including drafting correspondence, screening inquiries, and prioritizing responses while maintaining a high standard of professionalism and tone.

Manage projects:

Support and execute special projects as assigned, including research, event coordination, and operational initiatives. Identify opportunities to improve processes and implement more efficient ways of working.

Collaborate with Recruiting:

Partner closely with the Recruiting team to coordinate executive interviews, ensuring a seamless and high-quality candidate experience. Manage scheduling, communication, and logistics with precision and care.

Maintain confidentiality:

Handle confidential and sensitive information with discretion and sound judgment, maintaining the highest level of trust and professionalism.

Values-Driven Communication:

Act as a cultural ambassador in all interactions, embodying Sage's values through clear, thoughtful, and respectful communication with employees, candidates, and external partners.

RequirementsMinimum Qualifications
  • Bachelor's degree.
  • 5+ years as an Executive Assistant, with a track record of progressively senior, single-executive ownership roles.
  • Demonstrated experience operating in a high-growth startup or venture capital environment, ideally your second or third such role.
  • Proven ability to make independent, sound judgment calls on behalf of an executive without needing to check in first .
  • Excellent written and verbal communication skills.
  • Proactive, self-starter who can anticipate needs, troubleshoot challenges, and implement solutions.
  • Excellent organizational skills.
  • Warmth and positivity: you love making people feel welcome and valued, whether they're a team member or a visitor.
  • Experience working with Google Suite and Slack.
Preferred Qualifications
  • Experience as an Executive Assistant at a venture capital firm, supporting a Partner or Founder directly.
  • Direct experience supporting board meetings, investor updates, or fundraising logistics.
  • Experience working for a fast growing startup.
  • Experience working with Greenhouse ATS.
Benefits and Pay

Our headquarters are located in New York City's Union Square. We believe in cross team collaboration. We think good ideas can come from anyone, and we've designed our processes to encourage participation from all. While we take our mission seriously, we don't take ourselves too seriously. While we are an in office culture, we allow up to 2 remote days per week.

Our benefits package for employees includes competitive base compensation along with stock options. The expected annual salary range for this role is $130,000-$155,000 USD- depending upon the job level, which will depend on your level of expertise, your experience, and your qualifications. We also provide fully-paid health and dental insurance coverage for all of our employees, along with other health benefits including vision insurance, membership to premium primary and urgent care, and online medical health providers. We also have a take as you need time off policy, in addition to 7 paid holidays and a company wide winter break during the holidays.
