Job description

What you'll do

As Executive Assistant to one of Giga Energy's Founders, you'll be the operational backbone that keeps everything running at full speed. This role is for someone who wants to be in the room where decisions happen, not watching from the sidelines. You'll manage the details so your executive can stay focused on the big picture, acting as a trusted partner who anticipates needs, solves problems independently, and never lets anything fall through the cracks. At the core of this role is mastering three things: owning the executive's calendar so every minute is accounted for and protected, managing a high-volume inbox by drafting and responding to emails with the executive's voice and judgment, and handling all bookings - from complex travel itineraries to key meetings and reservations - so nothing is ever left to chance. Where you'll work

This role will be based in our Houston office. You must be willing to work in the office on a hybrid schedule, this is dependent on which days your executive is in office.ย 

Responsibilities
  • Own and manage the executive's calendar end-to-end, proactively resolving conflicts and prioritizing commitments
  • Draft, manage, and respond to emails on behalf of the executive with accuracy and professionalism
  • Handle NDAs, confidential documents, and time-sensitive paperwork with full discretion
  • Coordinate domestic and international travel logistics, including itineraries, accommodations, and ground transportation (~30% travel expected)
  • Maintain and update CRM records in HubSpot and manage day-to-day workflows across Google Suite
  • Make sound, independent decisions in the executive's absence - serving as a trusted proxy when needed
  • Identify and take ownership of time-consuming tasks before they become bottlenecks
  • Remain available and responsive during extended business hours (7 AM - 11 PM) as operational needs require
Requirements
  • 3+ years of experience as an Executive Assistant or in a comparable high-responsibility administrative role
  • Proficiency in Google Suite - able to hit the ground running without training
  • Demonstrated ability to manage competing priorities in a fast-paced, high-stakes environment
  • Proven track record of exercising independent judgment and making decisions on behalf of a senior leader
  • Strong written communication skills, including experience managing executive-level correspondence
  • Ability to handle sensitive and confidential information with the highest level of discretion
  • Willingness to work extended hours and remain responsive outside of standard business hours
