Job description

Executive Assistant

Our client, a global private equity investment firm, is seeking a highly polished and proactive Executive Assistant to support a Managing Director and a team of investment professionals in its growing New York City office. The firm operates across the United States, Europe, and Asia and invests in established, entrepreneur-led and family-owned businesses with regional and global ambitions.

The Executive Assistant will support a team of approximately six professionals, including the Managing Director, VPs, and Associates, while partnering closely with the office's existing EA. Responsibilities will include complex calendar management, domestic and international travel, expenses, meeting coordination, light personal support, and broader office and event-related projects. This individual will also collaborate regularly with colleagues across the firm's global offices and assist with logistics as additional team members relocate to New York.

The ideal candidate has 4โ€“6 years of experience supporting senior executives and investment professionals within private equity, hedge funds, or a similarly demanding financial-services environment. This person must be polished, discreet, collaborative, and highly proactive, with the judgment to manage confidential information and anticipate the needs of a busy team.

Responsibilities
  • Manage complex calendars for the Managing Director and investment team, coordinating internal and external meetings across multiple time zones.
  • Arrange detailed domestic and international travel, including flights, accommodations, ground transportation, itineraries, and related logistics.
  • Prepare and submit expenses accurately and promptly using Concur.
  • Coordinate meetings with investors, bankers, senior executives, and other external stakeholders.
  • Ensure meeting rooms, technology, and video-conferencing systems are prepared and functioning properly.
  • Serve as a polished and welcoming point of contact for visitors and external partners.
  • Provide occasional personal support to the Managing Director as needed.
  • Partner closely with the existing New York EA and provide coverage during absences.
  • Collaborate with administrative colleagues across the firm's global offices.
  • Support planning and logistics for team events, meetings, and the firm's annual global offsite.
  • Assist relocating employees with temporary accommodations and other light transition logistics.
  • Support onboarding and offboarding in coordination with the firm's global offices.
  • Assist with general office operations, supplies, equipment, and inventory as needed.
  • Anticipate team needs, maintain confidentiality, and ensure priorities continue moving forward.
Requirements
  • 4โ€“6 years of administrative experience supporting senior executives and investment teams.
  • Previous experience within private equity, hedge funds, or a similarly fast-paced financial-services environment is strongly preferred.
  • Proven ability to manage complex calendars, global travel, and competing priorities.
  • Exceptional polish, discretion, judgment, and attention to detail.
  • Highly proactive and resourceful, with the ability to anticipate needs and operate independently.
  • Collaborative, low-ego team player with a strong sense of ownership.
  • Excellent written and verbal communication skills.
  • Confidence interacting with senior executives and external stakeholders.
  • Experience with Microsoft Teams and Concur is preferred.
  • Bachelor's degree is preferred but not required.
  • Fluency in an additional language is a plus but not required.

Compensation: Mondayโ€“Thursday in the New York City office; Fridays remote. Base salary of $100,000โ€“$130,000, depending on experience, with a discretionary bonus
