The Department of Medical Assistance Services (DMAS) is excited to offer a competitive opportunity to serve as the Executive Assistant in the Director's Office.
Job responsibilities will include, but are not limited to:
The Executive Assistant to the Agency Director and Chief Deputy Director provides comprehensive executive-level administrative and operational support.
This position serves as a trusted liaison for the Agency Director and Chief Deputy between HHR, Executive Leadership team, government officials, stakeholders and agency staff.
The Executive Assistant manages complex scheduling, coordinates executive communications, oversees special projects while maintaining the highest level of professionalism, discretion, and confidentiality.
Key Responsibilities are managing and maintaining both the Agency Director and Chief Deputy's complex calendars, scheduling priorities, timekeeper, meetings, and travel arrangements.
Coordination of executive-level external and internal meetings and stakeholder engagements.
Prepare meeting agendas, briefing materials, presentations, reports, and correspondences.
Screen, prioritize and respond to inquiries to the Director.
Track action items and ensure timely follow-up on executive decisions and commitments.
Serves as a primary point of contact for internal and external stakeholders on behalf of the Director.
The business needs of the position have in office requirements to include but are not limited to attending the in-person training and/ or meetings and collaboration with DMAS stakeholders.

Considerable experience of programs, operations and administrative policies and procedures within the Public Sector.
Considerable experience coordinating complex schedules, meetings, or projects.
Considerable experience generating travel arrangements.
Considerable experience utilizing Docusign.
Considerable experience analyzing, interpreting, and applying federal and state laws/regulations.
Considerable experience meeting deadlines.
Considerable experience communicating with internal and external stakeholders.
Considerable experience utilizing Microsoft Office Suite.
Considerable experienced utilizing the Cardinal Human Capital Management (HCM) System.
