Job description

Responsibilities

  • Manage and maintain executives’ complex schedules, executing meetings/ appointments, and scheduling all domestic and international travel arrangements.
  • Administration of executives’ and employees’ expense reports.
  • Prepare requisitions/purchase orders/invoices for processing
  • Manage office administration to include working with vendors/suppliers, preferred hotels, and property management and maintain contracts
  • Coordinate office space, allocation, reconfiguration, interiors/furniture and lease
  • Coordinate and implement administrative procedures and monitor administrative projects, including catering, event planning, and company announcements
  • Prepare email and letter correspondence, contracts, agreements, presentation materials and other business documents
  • Manage incoming/ outgoing mail/packages via USPS, FedEx and UPS
  • Maintain filing system and tracking of documents
  • Perform other duties and project as needed and assigned.

Required Qualifications & Competencies

  • AA degree or BA/BS degree in business administration or related field.
  • 7+ years of experience as executive assistant to senior level executives with ability to learn quickly and work with little to no supervision.  
  • Capable of maintaining high level of integrity, confidentiality and professionalism in fast paced environment.   
  • Highly proficient in verbal and written communication, calendaring, and domestic and international travel arrangements. 
  • Team player with ability to interact with all levels of staff in fast passed environment remaining flexible.
  • Proficiency with computers and office equipment with a wide variety of knowledge of office software to include Outlook, Word, Excel and PowerPoint.
