EP Design Services is part of a leading real estate development firm specializing in multifamily, mixed-use, residential, retail, and commercial development.
Candidate will work full-time Monday-Friday in our creative office located in Piscataway, NJ.
Position Summary:

Edgewood Properties Design Services (EPDS) - our integrated architecture, engineering, interior design, and development team -
is seeking an Executive Assistant/Bookkeeper to support our director and keep our growing department organized and efficient.
About the Role: You'll be the right hand to the Director of EPDS, managing administrative operations, financial tracking, and vendor relationships.
This is a hands-on position perfect for someone who loves variety, enjoys learning new systems, and takes pride in keeping the details straight while supporting the big picture.
Salary:
Up to $80,00 per year based on experience
Responsibilities
What We're Looking For:
Financial & Contract Management
  • Process and track work orders for third-party architects, engineers, and design professionals
  • Prepare invoices and maintain accurate billing records
  • Manage professional service contracts and vendor documentation
  • Run weekly reports on contract status, job profitability, and vendor performance
  • Support annual budget preparation and ongoing financial tracking

Administrative Support
  • Provide executive-level administrative support to the Director, including correspondence, scheduling, and communications
  • Help implement and maintain our workflow management system
  • Coordinate department culture initiatives and internal events
  • Maintain organized records and tracking systems across multiple platforms

Process Improvement
  • Identify opportunities to streamline operations and improve efficiency
  • Support the adoption of new tools and workflows as the department grows

Qualifications
What We're Looking For:
  • 3-5+ years of experience in executive assistance, bookkeeping, or operations support
  • Strong proficiency in MS Office (Outlook, Excel, Word) and Adobe
  • Exceptional organizational skills and attention to detail
  • Comfortable managing multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Self-starter who can work independently and take initiative
  • High school diploma required; college degree preferred
  • Bonus: Familiarity with architecture, engineering, or design industries
