Job description

SUMMARY OF POSITION:  Electra Therapeutics is a clinical-stage biotechnology company developing novel therapies targeting signal regulatory proteins (SIRP) for the treatment of immunological diseases and cancer.

The Senior Executive Assistant provides high-level administrative support to the Chief Executive Officer and EVP, Strategy & Finance, enabling them to operate effectively in a fast-paced, dynamic environment by anticipating needs, managing competing priorities, and ensuring seamless execution of day-to-day operations. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to thrive in a fast-paced environment with multiple competing priorities.

The successful candidate will serve as a trusted point of coordination for the CEO and EVP, Strategy & Finance, managing complex calendars, travel, Board activities, and executive logistics while building strong relationships with internal and external stakeholders. Success in this role requires a high degree of independence, initiative, and sound judgment, with the ability to translate priorities into action with minimal oversight. The ideal candidate has a strong bias toward execution, consistently delivering high-quality results by staying ahead of priorities, removing obstacles, and enabling leadership to focus on the company's highest priorities.

KEY RESPONSIBILITIES:    

Executive Support

  • Provide dedicated executive support to the Chief Executive Officer and EVP, Strategy & Finance.
  • Manage highly complex calendars, balancing competing demands while protecting executive time and proactively resolving scheduling conflicts.
  • Manage complex domestic and international travel arrangements, including detailed itineraries, accommodations, transportation, and meeting logistics, while proactively managing schedule changes and ensuring seamless execution.
  • Ensure executives are thoroughly prepared for meetings and engagements through proactive coordination of logistics, materials, stakeholder communications, and follow-up actions.
  • Prepare, submit, and reconcile executive expense reports accurately and in a timely manner.
  • Exercise exceptional judgment in handling sensitive and confidential matters, recognizing when to act independently and when to escalate issues appropriately.

Executive Operations & Coordination

  • Serve as the primary point of contact for internal and external stakeholders on matters relating to the CEO and EVP, Strategy & Finance.
  • Coordinate executive schedules involving senior leadership, Board members, investors, advisors, legal counsel, and other key stakeholders, exercising sound judgment in balancing competing priorities and making informed scheduling recommendations.
  • Coordinate Board of Directors and committee meetings, including scheduling, logistics, preparation and distribution of meeting materials, and on-site support as needed.
  • Approach the role with a collaborative, team-first mindset, building strong partnerships across the organization and contributing positively to a culture of trust, teamwork, and shared success.
  • Partner with cross-functional teams to coordinate executive priorities and support the successful execution of key initiatives.
  • Support ad hoc projects, cross-functional initiatives, and other administrative needs across the organization, as appropriate and as bandwidth allows.

QUALIFICATIONS:

  • 10+ years of experience supporting C-level executives, including significant experience supporting a Chief Executive Officer or comparable executive leadership.
  • Ability to quickly understand organizational priorities and the relative importance of key internal and external stakeholders to effectively prioritize competing executive commitments.
  • Highly self-directed with the ability to independently prioritize work, execute with urgency and accuracy, and recognize when to act autonomously versus when to seek guidance.
  • Exceptional organizational, project management, and problem-solving skills, with the ability to anticipate needs, exercise sound judgment, manage highly confidential information, and consistently deliver with exceptional attention to detail.
  • Demonstrated success supporting executives in a fast-paced, dynamic environment where priorities frequently shift.
  • Outstanding verbal and written communication skills with the ability to interact professionally and confidently with executives, Board members, investors, consultants, and external stakeholders.
  • Experience supporting senior executives within biotechnology, pharmaceutical, or other highly regulated industries.
  • Advanced proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), Adobe Acrobat, DocuSign, SharePoint, and other business productivity tools.
  • Bachelor's degree preferred.
