Responsibilities
The Executive Assistant supports the Chief Information Officer. This role operates independently while managing a wide range of complex responsibilities, including coordination support for the CIO's direct reports. Success is rooted in the strength of the partnership between the executive and the assistant-where trust is established, expectations are clearly understood, and the necessary resources are in place to ensure essential knowledge is gained and effectively applied.
Performance Priorities:
  • Serve as a contributing member of the Chief Information Officer's office and team, operating within the framework necessary to successfully implement directives. Coordinate activities as assigned and anticipate needs to ensure all required information is readily available.
  • Provide extensive administrative support, including project coordination, with exceptional accuracy, strong time-sensitivity, advanced anticipation skills, and a professional personal touch. Demonstrate consistent follow-up to ensure task completion and maintain a strong sense of urgency without sacrificing detail.
  • Develop a strong working relationship that enables the Executive Assistant to effectively respond to the CIO's needs while functioning as a member of both the Converged Infrastructure team and the Vectrus Administrative team. Work collaboratively to identify shared objectives and resolve issues in a fast-paced, demanding environment.
  • Monitor trends in business, technology, office administration, and business systems; recommend appropriate improvements.

Communications Management:
  • Ease decision-making by serving as a liaison, as directed, on matters of importance on behalf of the Chief Information Officer.
  • Aid integration by ensuring projects and related tasks are completed in a timely and organized manner

Time Allocation:
  • Apply current technology skills to maintain a well-managed workflow. Effectively orchestrate troubleshooting activities and follow up on all details to address unexpected issues.
  • Partner with the Converged Infrastructure team and the Vectrus Administrative team to enhance the efficiency and effectiveness of existing administrative processes.
  • Track, facilitate, and resolve issues related to the Chief Information Officer's calendar, priorities, and scheduling needs.

Administrative Skills Day-to-Day Duties:
  • Provide high-level administrative support to the Chief Information Officer and Converged Infrastructure staff, relieving them of routine administrative duties.
  • Attend CIO meetings and take detailed notes to streamline follow-up communications and action items.
  • Create calendar reminders for assignments, deadlines, and key deliverables for the CIO.
  • Process expense reports for the CIO and others as directed.
  • Answer and direct telephone calls; receive and distribute written correspondence. Review incoming mail for the CIO, noting required actions or follow-up and ensuring deadlines are met. Forward communication notices and general information to staff as appropriate.
  • Coordinate extensive domestic and international travel, providing precise itineraries and agendas. Proactively manage all logistics and resolve conflicts. (Currently coordinated through CWT and CONCUR; subject to change.)
  • Independently manage assigned projects through completion.
  • Work quickly and efficiently while remaining flexible as priorities shift.
  • Maintain the CIO's calendar, including scheduling appointments, entering travel details, and sending meeting notices.
  • Arrange meetings and conferences for the CIO; maintain conference call schedules, coordinate catering when needed, and assist with preparing and collecting presentation materials and slides.
  • Organize various IT-related functions and events.
  • Work overtime as required and approved by the CIO.

Qualifications
Education
  • Bachelor's degree

Experience:
  • 5-8 years' experience supporting a C-Level Executive; preferably in Technology.
  • Impressive style, manner, communication, and collaboration skills to represent the Chief Information Officer's office.
  • Experience in managing large or complex projects; comfort with ambiguity.
  • Vested in the interest in the integrity of the job. Essential traits: decisiveness, listening, sensitivity, credibility, sense of urgency, professionalism with a sense of humor.
  • Ability to organize, coordinate, follow-up and manage complex details.
    Creative in managing priorities, handling more than one task at a time, exercising distraction control with judgment and common sense.
  • Knowledgeable in Microsoft 365 applications, Teams and Adobe technology; able to successfully operate laptop, copier, and standard office equipment.
  • Ability to type 60wpm.
    Planning and organizing skills, with the ability to anticipate change, adjust responses accordingly.
  • Excellent time/project-management expertise.

  • Knowledgeable with Concur.
  • Excellent writing, editing and verbal communication skills.
  • Attention to detail in all aspects of the role; high-quality standards.

  • The following salary range is intended to display the value of the company's base pay compensation and may be modified at the discretion of the company.
