Description

This role supports the planning, coordination, and execution of major conferences and campus events at Midwestern Seminary by assisting the Assistant Director of Events with event logistics, ticketing, and event management platforms, email communication, and office support.


ESSENTIAL FUNCTIONS


Assist in Strategic Planning and Execution of Conferences

  • Assist in preparation for the FTC Conference, Ready Conference, 9 Marks Conference, FTC luncheon at the SBC, Fall Festival, Spring Picnic, FTC Workshops, and other assigned events. 
  • Support event logistics by helping organize materials, supplies, hospitality needs, room setup details, and event schedules. 
  • Assist with registration processes and the use of ticketing and event management platforms for conferences and events. 
  • Help maintain accurate event records, timelines, and planning documents for effective preparation, wise stewardship, and efficient future planning. 
  • Communicate clearly with guest speakers, vendors, attendees, and other MBTS employees for effective event preparation and follow-through. 
  • Provide on-site event support, including setup, teardown, guest assistance, and troubleshooting during conferences and events. 

Assist in Office Management

  • Assist the Assistant Director of Events with email management, including monitoring event-related communication, organizing correspondence, and responding or following up as directed. 
  • Help maintain organized records for event details, registrations, and departmental files. 
  • Assist with tracking expenses, receipts, and budget-related documentation for conferences and events. 
  • Support regular office tasks, including data entry, calendar coordination, document preparation, and supply management. 
  • Assist in managing ticketing information, attendee lists, and event platform details to ensure accurate and timely communication. 
  • Help organize and maintain office resources for the benefit of the department. 

Assist in Student Leadership and Event Support

  • Assist with the coordination of Student Leadership participation in conferences, training, and events. 
  • Help communicate assignments, schedules, and expectations to student workers and volunteers as directed. 
  • Provide support for student-facing events, hospitality functions, and other departmental initiatives as needed. 

Requirements

QUALIFICATIONS / REQUIREMENTS

Christian with high integrity, actively pursuing a relationship with God

High school diploma required; bachelor's degree preferred

Experience in event planning, administrative support, hospitality, or related work preferred

Basic understanding of the Spurgeon College/MBTS educational experience

Excellent communication skills, both written and verbal

Ability to manage multiple projects and tasks at once

Proper phone etiquette skills are required

Able to prioritize job functions to meet deadlines while serving the needs of students and staff

Positive attitude with a desire and willingness to learn

Strong organizational skills and attention to detail

Skilled in computer technologies, including Microsoft Office Suite (Word, Excel, Outlook)

WORKING CONDITIONS

  • Part-time hours as scheduled according to department need
  • Flexibility to work extended hours before and during conferences and events (may include evenings and weekends) 
  • Regularly works at outdoor events

PHYSICAL REQUIREMENTS

  • Frequently required to sit or stand for periods of time at the desk or computer station
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Frequently required to spend extended time on the phone
  • Able to lift and/or move up to 25 pounds.
  • Specific vision abilities may include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
