Events Assistant Planner information

What are some common challenges faced by events assistant planners, and how can they be managed effectively?

Events Assistant Planners often face challenges such as last-minute changes to event details, coordinating with multiple vendors, and managing tight deadlines. To handle these effectively, strong organizational skills, adaptability, and clear communication are essential. It’s also important to develop contingency plans and maintain detailed checklists to ensure nothing is overlooked. Working closely with the planning team and vendors can help resolve issues quickly and keep events running smoothly.

What does an events assistant planner do?

An Events Assistant Planner supports the planning and execution of events such as conferences, weddings, corporate meetings, and parties. Their responsibilities typically include coordinating logistics, communicating with vendors, assisting with event setup and breakdown, managing guest lists, and ensuring that all event details run smoothly. They often work closely with senior event planners to bring the vision of the event to life and handle any issues that may arise during the event. Strong organizational and communication skills are essential for this role.

What are the key skills and qualifications needed to thrive as an events assistant planner?

To thrive as an Events Assistant Planner, you need strong organizational skills, attention to detail, and a background in event management or hospitality, often supported by a relevant degree or coursework. Familiarity with event management software (such as Cvent or Eventbrite), budgeting tools, and office productivity suites is typically required. Excellent communication, problem-solving abilities, and flexibility help you build relationships with vendors and clients and adapt to changing circumstances. These skills are crucial for ensuring successful event execution, client satisfaction, and effective coordination under tight deadlines.

What is the difference between Events Assistant Planner vs Event Coordinator?

Job description

Part-Time Assistant Planner

SB Events Co. | Dallas, TX | Part-Time | Hybrid + On-Site Events

SB Events Co. is a boutique wedding planning and event production company specializing in elevated, multi-day weddings and destination celebrations across the U.S. and internationally.

We’re looking for a Part-Time Assistant Planner who is organized, proactive, detail-oriented, and genuinely excited to build a career in the wedding and events industry.

This is a hands-on role supporting our planning team with both behind-the-scenes planning and wedding-day execution. The right person is someone who wants to learn, take ownership, and grow with a company, not simply work events.

What You’ll Do

  • Support Lead Planners and the CEO throughout the planning process
  • Assist with timelines, vendor communication, logistics, and planning documents
  • Help maintain organized client files and track planning details
  • Attend select client and vendor meetings
  • Assist with wedding week preparation and production
  • Work on site at weddings and events
  • Communicate professionally with clients, families, venues, and vendor partners
  • Anticipate needs, problem-solve, and help the team keep projects moving forward

What We’re Looking For

  • Highly organized with strong attention to detail
  • Professional, warm, and confident communicator
  • Dependable and responsive
  • Comfortable taking direction, receiving feedback, and learning quickly
  • Able to manage multiple priorities in a fast-paced environment
  • Interested in building long-term experience in weddings and events
  • Comfortable working independently as well as collaboratively
  • Previous hospitality, events, wedding, or customer-service experience is a plus

Candidates should be available for a combination of weekday work, evenings, and weekends. Wedding days may include early mornings, late evenings, and long shifts. Travel is required.

What You’ll Gain

You’ll work closely with an experienced planning team producing sophisticated, culturally rich weddings in Texas and destinations around the world. We believe strongly in developing our team and providing opportunities to learn the business beyond wedding-day coordination.

For someone who is driven, curious, and wants to grow in the industry, there is meaningful opportunity to take on greater responsibility over time.
