Event and Projects Coordinator
Lovibond® | Sarasota, FL | Full-time | Exempt
About the opportunity
Lovibond® is looking for an organized, detail-oriented Event and Projects Coordinator to support marketing-led projects, trade shows, events, CRM data quality, and cross-functional communications.
This role works closely with Marketing, Sales, Operations, and external partners to keep projects moving, ensure event logistics are handled smoothly, and help measure the impact of marketing activities.
The ideal candidate is proactive, collaborative, comfortable managing multiple deadlines, and ready to support both in-person and virtual events. When not traveling, this position reports to the Sarasota, FL office Monday through Friday during standard business hours, 8:00 AM–4:45 PM EST.
What you’ll do
Trade shows and events
  • Coordinate event strategy, timelines, requirements, registrations, sponsorship materials, booth logistics, vendor needs, hotel accommodations, meeting spaces, catering, equipment rentals, and shipments.
  • Maintain the company-wide events calendar and help ensure deliverables are completed on time and on target.
  • Support national trade shows and key events, including serving as a first-in, last-out team member when needed.
  • Track event costs, budgets, attendee lists, booth schedules, lead capture, post-event communications, and event-related metrics to help measure ROI.
  • Research sponsorship, networking, restaurant, entertainment, and engagement opportunities in event cities.
  • Manage trade show inventory, booth materials, equipment updates, and coordination with Operations and Event Logistics teams.
  • Ensure health and safety standards are followed during events and recommend improvements based on current trends in trade show and event marketing.
Marketing project coordination
  • Manage schedules for marketing-led projects and track timelines for on-time, on-target deliverables.
  • Serve as a local point person for Monday.com as a project management tool.
CRM data governance
  • Ensure event leads are entered into the CRM accurately and assigned to the appropriate lead owners.
  • Review leads for accuracy and completeness, create and update dashboards and reports, and maintain activity logs for customer-facing teams.
  • Identify and merge duplicate entries, correct formatting errors, remove outdated or low-quality data, and help maintain database integrity.
  • Develop materials that help users understand and use CRM systems effectively.

  • Multilingual skills are a plus, particularly Spanish.
Qualifications
  • High school diploma or equivalent required.
  • At least 2 years of experience coordinating teams, clients, events, projects, or related work preferred.
  • Proven success working with multiple levels of management in a corporate setting.
  • Professional certification such as PMP is preferred but not required.
Schedule, travel, and physical requirements
  • Approximately 25% travel, including weekends and up to five consecutive overnight stays.
  • Moderate disruption to routine may be required to support events and reporting deadlines.
  • When not traveling, this role reports to the Sarasota, FL office Monday–Friday, 8:00 AM–4:45 PM EST.
  • Must be able to stand and walk for long periods during events and lift up to 50 pounds at times.
