Position Summary: KHS is seeking an Events and Outreach Assistant to work with the Events and Outreach Coordinator in hands-on planning, coordinating, and successful execution of a wide range of Kitsap Humane Society's fundraising and community outreach events. This role works to support a broad range of organizational goals by assisting to execute the organization's event and outreach strategy and advancing public awareness of our organization's mission. The ideal candidate will bring strong organizational skills, strong technology skills, and have a sincere commitment to working collaboratively with a range of constituent groups, including staff, board members, volunteers, and program partners. Candidates will also demonstrate a strong passion for animals and our animal welfare mission.
Reports To: Development and Outreach Manager
Major Duties and Responsibilities:
• In partnership with the Development and Outreach Manager and the Events & Outreach Coordinator, assist in executing KHS's major philanthropic events and outreach activities.
• Fundraising Events: The Assistant will help with special projects, data entry, volunteer management, and more for our major special events. For PetsWALK, this includes but is not limited to procuring event prizes, organizing and managing the PetsWALK vendor fair, assisting with participant management and fundraising efforts, and day-of support. For our Animal Krackers Gala, this includes but is not limited to procuring and organizing auction packages, coordinating event logistics, and volunteer coordination and day-of event support.
• Outreach Events: Organize and manage outreach booths. This includes but is not limited to completing event applications, recruiting and supporting event volunteers, and attending off-site outreach events on behalf of KHS (fairs, parades, community events, etc.).
• Event Coordination of Other Events : Organize and manage other special events, such as Pints for Pets and Santa Paws. Provide support and implementation of other important organizational events, such as adoption and shelter events, staff parties, and third-party events.
• Inventory and organizational tracking: Assist in maintaining and tracking all Events merchandise inventory and donation items.
• Other duties as assigned.
Requirements
Required Qualifications:
• One year of related experience in event planning and community outreach and awareness events
• Demonstrated project management and communication skills (written and verbal)
• Demonstrated ability to work effectively and independently as part of a team, and meet deadlines under pressure
• Flexible, quick learner with ability to anticipate department needs and manage multiple tasks and demands simultaneously
• Fluent in the Microsoft Office Suite
• Must be able to stand for long periods of time, lift, manage and carry job related materials
Desired Qualifications:
• Experience with relationship database systems, including data entry and reporting; virtual fundraising platforms and event support software
• Familiar with Kitsap Humane Society events
• Familiar with Kitsap County's communities and local businesses
• Access to a vehicle
Other Skills/Abilities:
• Experience working with Microsoft, Google Workspace, and Database Software (Greater Giving, Bloomerang and Qgiv)
• Knowledge of Kitsap County geography and business community
• Excellent note-taking abilities and task delegation skills
• Must be able to lift, manage, and carry job-related materials.
Hours:
• Full-time, non-exempt
• Require added workload and hours immediately before and after significant fundraising events
• Requires periodic weekend/evening work to implement major and minor events year-round.
Compensation:
• Vacation and Sick time accrual
• One free adoption per year
