Job description

This on-site role suits a highly organized, detail-oriented professional who thrives on the pace and variety of event work and brings that same accuracy to the administrative side. Success depends on ownership: treating the events, the assets, and the desk as fully your own.

Event Coordination and Sponsorships

  • Plan, organize, and execute internal and external events from concept to completion, including dealership activations, community sponsorships, fundraisers, and company celebrations.
  • Consult with internal stakeholders to understand each event's objectives, audience, and requirements.
  • Research, negotiate, and manage contracts with venues, caterers, and event vendors within approved budgets.
  • Oversee event logistics including scheduling, layout, transportation, audiovisual setup, and on-site coordination.
  • Direct event staff and volunteers, providing clear guidance during setup and execution.
  • Troubleshoot event-day issues and keep every element aligned with company standards.
  • Conduct post-event reviews, gather feedback, and report on outcomes and improvements.
  • Manage the department's chain of custody process: receive, inspect, photograph, tag, and register event assets; be present for every pickup and return; and complete the required custody logs at each hand-off.
  • Track marketing inventory, including promotional materials, signage, event supplies, and giveaways, raising discrepancies promptly.

Office Administration

  • Serve as a point of contact for internal and external communications, including phone calls, emails, and correspondence.
  • Process and track unsubscribe requests across our email and marketing systems to support compliance.
  • Maintain and organize digital and physical filing systems, databases, and office records.
  • Manage office supplies, track inventory, and coordinate with vendors to keep daily operations running.
  • Operate and maintain in-house printing and finishing equipment as needed, monitoring output for accuracy and quality.
  • Handle confidential information with discretion, and support the day-to-day clerical needs of the department.
  • Perform other related duties and participate in special projects as assigned.
