Essential Job Duties
The Assistant Director for Reservations & Event Planning serves as a vital member of the NC State Student Centers Leadership Team. As the lead administrator for the reservations and event planning department, you will oversee the strategic direction of event processes, manage department-specific software, and foster a culture of exceptional customer service.

This role is a blend of high-level administration and hands-on leadership, directly supervising a team of 4 SHRA staff members and providing indirect oversight for an additional SHRA staff member and a team of 10-15 student Reservations Assistants and Managers.

Key Responsibilities:
  • Programmatic Leadership: Develop, implement, and evaluate department programs. This includes establishing clear goals, objectives, and deadlines that align with the Student Centers' mission.
  • Team Management: Oversee the full lifecycle of employment (recruiting, hiring, training, and scheduling) for both professional and student staff. Provide consistent guidance, direction, and performance evaluations.
  • Operational Excellence: Serve as the subject matter expert for event management software (Mazevo) and university systems (ServiceNow, AiM). Manage best practices for building access, security management, and work order systems.
  • Communication & Policy: Effectively communicate expectations, policies, and event requirements to a varied population of students, staff, and external clients.
  • Problem Solving: Analyze complex scheduling or logistical issues and demonstrate proactive problem-solving capabilities to ensure seamless event execution.

  • Perform other duties as assigned to ensure NC State Student Centers business needs are met.
  • Position will require the use of NC State vehicles to travel between student union buildings for events.
Qualifications
Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Preferred Qualifications
  • Experience in large student union operations or similar environments.
  • Experience with Mazevo or EMS (event management), Google Workspace, Calendly, and Trello.
  • Demonstrated experience creating training and instructional materials.
  • Knowledge of state, UNC System, and University PRRs related to Use of University Space for events and solicitation.
Required License or Certification
  • Valid driver's license required.
  • Valid NC driver's license within 60 days of start date. Must be maintained as a condition of employment.
