Our client, a commercial real estate company located in the heart of beautiful Westmount, is looking for a Receptionist / Administrative Assistant / Assistant to the Commercial Real Estate Manager to join their team!!!!
This is a fantastic opportunity for the right candidate. And by RIGHT, most importantly is that they are fluently bilingual in both English and French, both spoken and written.
Responsibilities:
Front Desk Management: Greet visitors, answer incoming calls, route messages, and maintain a clean, welcoming reception area.
Administrative Support: Draft memos, format documents, and maintain both digital and physical filing systems for easy retrieval.
Scheduling: Schedule appointments and maintain the conference room in preparation for meetings.
Office Maintenance: Monitor inventory, order office supplies, and coordinate equipment maintenance.
Correspondence & Logistics: Sort and distribute mail, handle couriers, and occasionally arrange travel or event bookings.
Data & Finance: Perform data entry, filing, process invoices, deposit cheques. Prepare documents and reports as requested.
Commercial Real Estate related duties: Assist in the preparation and amendment of legal documents pertaining to leases and other legal documents. Draft letters and memos of a confidential nature, drafted for review by a supervisor or prepared from dictation or hard copy. Forward or respond to legal correspondence not requiring managements attention.
Requirements:
Technology Proficiency: Strong working knowledge of office software like the Microsoft Office Suite or Google Workspace, Yardi as well as basic scheduling tools.
Communication: Exceptional verbal and written communication skills (in both English and French) to interact professionally with clients, vendors, and internal staff.
Organization: Outstanding time-management skills with the ability to multitask in a fast-paced environment.
Discretion: The ability to handle sensitive and confidential company information with care
