Job description

We are looking for a proactive, highly organized Personal assistant to provide personal and administrative support to company leadership. This role is ideal for someone who enjoys a dynamic workload, takes ownership, and can manage a wide range of tasks independently with minimal supervision. Strong organizational skills, attention to detail, and the ability to anticipate needs are essential for success in this role.

Key responsibilities:

  • Providing comprehensive day-to-day administrative support to key company leadership, managing schedules, correspondence, documentation, and various organizational tasks to ensure everything is handled efficiently and on time;
  • Handle and execute various ad hoc requests and assignments from company leadership, ensuring timely and effective completion;
  • Ensuring a comfortable and well-functioning office environment by identifying and selecting reliable service providers and maintaining high service standards;
  • Managing end-to-end travel planning, from researching and selecting the best options to handling bookings and coordinating complex travel arrangements, while considering country-specific requirements, preferences, and logistics;
  • Taking ownership of local event planning and coordination, managing all logistics and ensuring successful execution and a strong attendee experience.

Requirements:

  • Minimum 1-2 years of experience in a similar administrative or personal assistant role;
  • Strong organizational skills with excellent attention to detail;
  • Ability to work independently and take ownership of tasks;
  • Resourceful, proactive, and solution-oriented mindset;
  • Valid driver’s license and ability to use a vehicle for work-related tasks as needed (must);
  • Must be based in Montreal with strong knowledge of the local area, services, and resources, and the ability to efficiently handle local tasks and arrangements.
