Job Description
Summary/objective
The evening Workforce & Economic Development (WED) Secretary provides comprehensive administrative and operational support for WED programs during evening hours. This position ensures the accuracy of student enrollment records, prepares instructional materials for adjunct instructors, maintains course documentation, coordinates communication among departments, and supports the successful delivery of workforce training programs.
Essential functions
โ€ข Advise Director on all matters that require their attention
โ€ข Enter, verify, and maintain student enrollment information in the student information system.
โ€ข Review enrollment records for completeness and accuracy.
โ€ข Collect and verify required student documentation prior to course participation.
โ€ข Monitor enrollment status and resolve discrepancies with appropriate departments.
โ€ข Maintain confidential student records in accordance with institutional policies and applicable regulations.
โ€ข Prepare and assemble course packets for adjunct instructors.
โ€ข Print course manuals, instructional materials, handouts, rosters, certificates, and other required documents.
โ€ข Ensure instructional materials are prepared and available prior to each course.
โ€ข Organize and maintain electronic and physical course files.
โ€ข Track, maintain, and verify accurate student attendance records.
โ€ข Assist with course closeout procedures and maintain completed course records.
โ€ข Prepare reports and documentation as requested.
โ€ข Serve as a point of contact for adjunct instructors.
โ€ข Prepare adjunct instructor contracts and supporting documentation.
โ€ข Coordinate distribution and collection of instructional materials.
โ€ข Assist instructors with classroom preparation and administrative needs.
โ€ข Communicate schedule changes, enrollment updates, and procedural information.
โ€ข Communicate regularly with the Student Resource Center regarding registrations, prerequisites, and enrollment issues.
โ€ข Coordinate with Cashiers regarding payments, registrations, refunds, and account questions.
โ€ข Respond professionally to student, instructor, and staff inquiries.
โ€ข Order course books, instructional supplies, and classroom materials.
โ€ข Maintain organized storage of instructional materials and supplies.
โ€ข Assist with receiving and distributing purchased materials.
โ€ข Assist WED Coordinators with administrative projects and daily operations.
โ€ข Support special events, evening programming, and workforce initiatives.

Accountability & Professionalism: Demonstrates dependability by meeting deadlines, following established procedures, maintaining confidentiality, exercising sound judgment, and accepting responsibility for the quality and accuracy of assigned work.
Technology & Administrative Proficiency: Demonstrates proficiency in Microsoft Office, student information systems, and other technology required to perform administrative functions efficiently and accurately while maintaining organized records and documentation.

Work environment
The WED Operational Secretary typically works in an office environment, but the mission of the school may require work in the business and industry community and other settings. Normal hours for this position are Monday-Thursday 11:00am - 10:00pm but may require other hours to accommodate activities such as travel within the Great Plains service area, Board meetings and representation of Great Plains at public events.
Physical demands
The WED Operational Secretary role requires the ability to sit for extended periods while also being mobile across school campuses and community events. The position involves lifting and carrying materials up to 25 pounds, as well as using office technology for administrative tasks. Strong verbal, auditory, and analytical skills are essential for effective communication and decision-making. The role also demands the ability to handle high-stress situations and respond effectively to emergencies, crisis situations, and student altercations.
Travel required
Occasional local, or regional travel for professional development, meetings and other activities as assigned is necessary in the WED Operational Secretary role.
Required education and experience
โ€ข High School Diploma or Equivalency
โ€ข Minimum of two (2) years of administrative support, office management, or student services experience.
Preferred education and experience
โ€ข Experience with student information systems.
