Transnation Title Agency is seeking a detail-oriented, customer-focused Escrow Assistant to join our Grand Rapids East Paris team. In this role, you will handle administrative, clerical, and transactional tasks during the opening, maintenance, and closing of escrow files. You will work alongside licensed escrow officers to keep transactions organized, accurate, and on schedule.
This role is ideal for someone who likes a busy office setting, values accuracy, and cares about providing excellent customer service.
What You Will Do
  • Provide administrative and clerical support to licensed escrow officers during the opening, processing, closing, and post-closing stages of escrow transactions
  • Communicate with customers and internal staff regarding new and existing title and escrow orders
  • Respond to general questions about services, procedures, and file status in a professional and helpful manner
  • Assist with front desk and general office duties, including answering phones, handling incoming and outgoing mail, and distributing faxes and emails
  • Prepare, revise, copy, and organize escrow-related correspondence, closing documents, and transaction files
  • Schedule and coordinate closings with buyers, sellers, lenders, real estate agents, and other parties involved in the transaction
  • Review files for completeness and alert escrow officers to missing items, discrepancies, or issues that may affect closing
  • Maintain communication with escrow officers regarding customer service matters and potential business opportunities
  • Monitor and order office supplies as directed.

What We Are Looking For

Computer Skills
  • Proficiency in Microsoft Office, including Outlook, Word, Excel and PDF exchange
  • Comfort working in multiple systems throughout the day
  • Ability to accurately enter, review, and retrieve information in company systems and document management platforms
  • Ability to learn new software quickly and resolve basic issues involving printing, scanning, passwords, and PDF tools
  • Experience using a title or escrow production system is preferred but not required.

Education and Experience
  • High school diploma or equivalent required
  • Associate degree in business, accounting, legal studies, or a related field preferred
  • One to three years of administrative, clerical, customer service, title, escrow, mortgage, real estate, or related office experience preferred
  • Experience supporting real estate transactions, preparing closing documents, handling escrow files, or working in a title or escrow environment is strongly preferred, but not required.

Licenses and Certifications
  • Michigan Residential Producer License preferred but not required.
  • Notary Public preferred
  • Valid driver's license required

An equivalent combination of education, training, certifications, and relevant work experience may be considered based on business needs and applicable requirements.
