About the role
Coordinates and supports activities of the organization engaged in the sale of engineered products, instrumentation, controls, and industrial piping supplies. Provides foundational customer and operational support by managing the order pipeline, quote-to-PO conversions, and vendor communications while systematically developing technical product knowledge.
What you'll do

Immediate Core Duties & Process Support
  • Focuses daily activities on tracking down shipping/delivery information, expediting purchase orders (POs), and preparing standard or repeat vendor quotes.
  • Implements and maintains a standardized physical folder system for quote-to-PO conversions, ensuring folders are labeled accurately with Sales Order (SO) numbers and include all pertinent spreadsheets and shop notes to guarantee seamless absence coverage across the team.
  • Minimizes operational bottlenecks by adhering to strict workflow guidelines, ensuring all assigned tasks, projects, and RFQs are systematically logged and tracked via Spiro.ai.

Sales Support & Customer Service
  • Generates new and repeat sales by providing basic product and technical information in a timely manner.
  • Enters sales quotations and orders for new and existing customers into core operating systems.
  • Confers with potential and existing customers to ascertain delivery timelines and required service needs.
  • Organizes documentation on all orders and quotes to resolve discrepancies with vendor billing, monitoring scheduled shipment dates to ensure timely delivery.
  • Sets up and maintains comprehensive customer files.
  • Coordinates activities across sales, service, accounting, receiving, and shipping operations to ensure a fluid customer experience.
