Front Desk & Office Assistant (In-Office Position)

Position Summary

We are seeking a reliable Front Desk & Office Assistant who possesses strong Microsoft Excel experience to support daily office operations at our local distribution facility. This is an in-office position that combines receptionist duties with administrative support for our sales, shipping, and accounting teams.

The role includes greeting customers, answering phones, processing invoices, updating inventory records, and creating advanced Excel reports using information from our company system.

This is a great opportunity for someone who enjoys a structured office environment, is organized, and is comfortable working with spreadsheets.

This position is NOT remote. Local applicants only.


Key Responsibilities

Front Desk & Customer Support

  • Greet customers and visitors at the front desk
  • Answer incoming phone calls and direct them to the appropriate department
  • Assist will-call customers picking up orders
  • Process customer payments
  • Interact with vendor representatives and delivery drivers

Administrative & Office Support

  • Create and process customer invoices
  • Maintain shipping and delivery documentation
  • File and organize paperwork related to orders and deliveries
  • Assist with scheduling logistics appointments when needed

Inventory & Order Support

  • Enter inventory transactions into the company system
  • Update order information and ensure records are accurate
  • Track shipping documents and proof of delivery for completed orders

Spreadsheet & Reporting Support

  • Pull queries from the company system for projections
  • Update Excel spreadsheets and share data to leadership
  • Help maintain sales and inventory reports to appropriate departments

Qualifications

Required

  • Advanced Microsoft Excel skills
    • Pivot tables
    • Lookups (VLOOKUP/XLOOKUP)
    • Data analysis
    • Report building
  • Entry-level Power BI experience
  • Experience with ERP systems for inventory or accounting
  • Accounts Payable or Accounts Receivable experience
  • Strong organizational and documentation management skills
  • Ability to analyze data and produce clear operational reports
  • Employment is contingent upon successful completion of a background check

Preferred

  • Experience supporting logistics or transportation operations
  • Inventory management experience
  • Experience working with shipping documentation or Proof of Delivery (POD)
