Front Desk Administrative Assistant

We are currently seeking a Full-Time Administrative Assistant for our Pueblo, CO Campus. The ideal person in this position has a warm demeanor and a friendly attitude. They should be very attentive to detail, able to work with minimal supervision, enjoy managing the phones, and have a desire to be helpful to other staff and visitors. This is an entry level position and though professional administrative experience is not required, successful candidates will have previous professional experience in customer service, managing multiple phone lines, and data entry.

Job Summary:

The Front Desk Administrative Assistant is primarily responsible for maintaining and managing the reception area including general office duties and handling phones and on-site inquiries from visitors and students.


Essential Duties:

  • Welcome on-site visitors, determine nature of business, and announce to appropriate personnel
  • Distribute walk-ins and phone leads to admissions representatives
  • Contribute to effective community relations by prompt and courteous handling of all inquiries and visitors
  • Answer telephone calls, determine purpose, and forward to appropriate personnel or department
  • Take messages and transfer calls to voicemail when appropriate personnel are unavailable
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents as needed
  • Distribute electronic and mail communications
  • Post message to/from students in the appropriate location. (students come in, if faculty unavailable, record student needs and inform faculty)
  • Audit database accuracy by comparing multiple databases for matching information
  • Update Velocify database based on the information in the campus database
  • Maintain a clean and orderly reception area


Secondary Duties:

  • Perform other clerical duties as needed, such as filing, photocopying, and collating
  • Assist students with various requests, such as class schedules
  • Other duties as assigned


Physical Demands and Working Conditions:

This position requires light work, occasionally lifting up to 20 pounds while frequently lifting up to 10 pounds. Administrative work requires sitting for long periods of time and consistent use of a computer. Position is required to express complex topics through speech and written communication. The worker is not substantially exposed to adverse environmental conditions or chemicals. This position does not require regular driving and overnight travel.

Working Hours:

Monday - Friday 8:00am-5:00pm


Minimum Qualifications:


Education: High School Diploma or Equivalent (GED)

Experience: 1+ year(s) experience in business administration, customer service, or related field
