Job Description
We are seeking a detail-oriented Administrative Assistant to provide high-level administrative coordination to our Operations leadership and cross-functional teams. This role is pivotal in supporting QMS documentation, audit processes, and continuous improvement initiatives to ensure the smooth operation of our systems and processes.
Responsibilities
  • Coordinate and manage meetings, prepare agendas, take minutes, and track action items to ensure timely follow-up.
  • Prepare quality reports, presentations, and business documentation to support decision-making.
  • Assist in project coordination and follow-ups on operational and quality initiatives.
  • Maintain and update company policies, procedures, SOPs, and work instructions.
  • Ensure document control compliance, including versioning, approvals, amendment logs, document register, and distribution.
  • Conduct periodic reviews to ensure all documentation is current and compliant with industry standards.
  • Support internal and external audits by preparing documentation, audit trails, and tracking auditor progress.
  • Monitor and follow up on CAPAs and IMPs to ensure timely closure.
  • Assist with quality reviews and management review meetings.
  • Generate recurring reports on a daily, weekly, and monthly basis.
  • Adhere to all statutory requirements, including health and safety regulations.
  • Promote and uphold company policies and procedures, particularly relating to HR and health and safety.
  • Undertake any other reasonable duties as directed by the line manager.
  • Comply with all agreed processes if E1 platform use is required in the future, including completing necessary training and obtaining formal sign-off from the Line Manager.

Essential Skills
  • 3-5 years of experience in administrative support, operations coordination, or QMS environment.
  • Associate's or Bachelor's Degree in Business Administration or relevant work experience.
  • Proficient in MS Office Suite or similar programs.
  • Strong verbal, written, and oral communication skills.
  • Knowledge of document control and QMS principles.
  • Demonstrable drive for continuous improvement.

Additional Skills & Qualifications
  • BRCGS Issue 7 - Packaging knowledge.
  • HARA Certified.
  • Current US driving license.
  • Excellent interpersonal skills.
  • Ability to manage priorities in a fast-paced environment.
  • Highly organized with keen attention to detail and confidentiality.
  • Self-motivated, approachable, and confident.

Work Environment
This is a full-time position with working hours from Monday to Friday, 8:00 AM to 5:00 PM. The dress code is business attire, and jeans are not permitted.

Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
