Job description

Document Control Specialist

We are seeking a highly organized and detail-oriented Document Control Clerk to support our Quality and Operations teams. This position is responsible for maintaining document control systems, processing project documentation, entering data into ERP systems, creating project work orders from customer purchase orders and specifications, generating reports and packing slips, and providing general administrative support.

The ideal candidate thrives in a fast-paced manufacturing environment, has exceptional attention to detail, and takes pride in maintaining accurate records while ensuring documentation complies with company quality standards and procedures.

Essential Responsibilities

  • Maintain and administer document control procedures in accordance with company policies and quality management standards, including ISO 9001 and ISO 13485.
  • Manage electronic and paper document management systems, including SharePoint and ERP software, ensuring documents are current, accurate, properly version-controlled, and readily accessible.
  • Process, file, organize, index, and retrieve quality, engineering, and project documentation.
  • Coordinate document review, approval, revision, distribution, and archival processes across multiple departments.
  • Create project work orders by accurately interpreting customer purchase orders, engineering standards, and project specifications.
  • Enter and maintain accurate data within ERP and document management systems.
  • Generate reports, packing slips, and shipping documentation to support production and logistics operations.
  • Proofread technical documents for accuracy, formatting, consistency, and completeness before release.
  • Conduct periodic audits of document control and records management practices to ensure compliance with company procedures and regulatory requirements.
  • Support quality assurance initiatives and assist during internal and external audits.
  • Answer and direct incoming telephone calls and provide general administrative support as needed.
  • Perform other administrative and document control duties as assigned.

Qualifications

  • High school diploma or GED required; Associate's degree or related coursework is preferred.
  • Minimum of 2 years of document control, administrative, quality assurance, or manufacturing support experience.
  • Experience working in a manufacturing environment is strongly preferred.
  • Working knowledge of ISO 9001 quality standards; familiarity with ISO 13485 is a plus.
  • Experience using ERP software and electronic document management systems is required.
  • Experience with SharePoint is preferred.
  • Proficient in Microsoft Office Suite, including Excel, Word, Outlook, and Adobe Acrobat.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Excellent organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to prioritize competing responsibilities while meeting deadlines.
