Job description

Description
About the Team
This is a small, high-performing team that genuinely enjoys working together. Clients become lifelong fans. Milestones get celebrated. Standards are high, and so is the support. If you want your work to matter and your contributions to show, this is that role.
Olga Golovko is the #1 Keller Williams agent across Northern California and Hawaii - ranked in the top 1.5% of agents nationwide. She's known for white-glove client care, a quick wit, and a very direct approach. Her motto: "No need to sugarcoat anything - that's what bakeries are for."
Behind that business is an operation that has to run at the same standard. That's where you come in.
What You'll Get
  • $120,000-$150,000 base salary depending on experience, plus bonus
  • Paid vacation, holidays, and sick leave
  • Employer contribution toward medical benefits
  • 401(k) with employer match
  • Monday-Friday, 9 AM-6 PM with rare flexibility for true emergencies
  • Hybrid schedule - home and a private office in Los Gatos

Responsibilities
What This Role Actually Is
You're Olga's operational right-hand - the person who knows her contracts, her clients, and her systems well enough that when she steps away, nothing skips a beat. You take pride in an operation that runs seamlessly, and you're the reason it does.
You'll Own:
• Transaction coordination from contract to close
• Vendor relationships - inspectors, stagers, contractors, title, escrow
• Concierge-level client communication with high-net-worth buyers and sellers
• Business systems and process improvement
• Executive support and calendar management
• Day-to-day coordination with a Marketing Coordinator and Field Assistant
Qualifications
Who's a Great Fit
• 3+ years in operations directly supporting a top-producing residential real estate agent or team - you know this world well
• Active California Real Estate License, or genuinely ready to get one quickly
• Polished and warm with high-net-worth clients - discretion comes naturally to you
• A systems builder who also knows when to pivot - you love a good process, and you make it better
• Within a 40-minute commute of Los Gatos (95033), with a reliable vehicle for occasional errands
