Job description

Position Summary

Digital Mailroom Operations Manager supervises the Conversion Services employees in a production environment. The DMOM implements policies and procedures and recommends improvements to production processes, operating procedures and equipment.

The Conversion Services department efficiently transforms customers' source documents into easily accessible and manageable electronic files. Conversion services offerings include: document scanning, large format scanning, document microfilming, microfilm scanning, intelligent capture, and data entry services.


Responsibilities

  • Manage the transition/conversion of client's documents in accordance with the established procedures/processes
  • Management of on-site & off-site conversion jobs
  • Achieve measurable results on time and on budget
  • Establish operational objectives and work plans, and delegate assignments to team members
  • Utilize resources to efficiently and effectively manage staffing, costs, and customer deliveries while meeting daily production requirements and staying within budgetary limits
  • Audit current processes and procedures for efficiency and implement improvements as needed
  • Collaborate with account manager, technical staff and the customer to accurately scope, test, and determine the most efficient processes for new and existing business
  • Maintain customer relationships by communicating effectively with account managers and customers regarding job requirements and specifications, inquiry requests and issue resolutions
  • Provide leadership for continually improving department processes
  • Establish and implement departmental goals, objectives, policies and procedures
  • Motivate, develop, and direct people
  • Monitor and assess individual and team performance in order to make improvements or take corrective action
  • Ensure that business practices are performed in accordance with company policy and procedures, as well as applicable federal, state and local laws and regulations

Education and Experience

  • Minimum of three years management experience in a production environment or related field
