What is a digital mailroom?

A digital mailroom is a system or service that automates the process of receiving, sorting, and distributing incoming mail electronically. Physical mail is scanned and converted into digital documents, which are then routed to the appropriate recipients or business systems. This process increases efficiency, reduces manual handling, and improves document security. Many organizations use digital mailrooms to streamline workflows and support remote or hybrid work environments.

What are the key skills and qualifications needed to thrive as a Digital Mailroom Operator, and why are they important?

To excel as a Digital Mailroom Operator, you need strong attention to detail, data entry skills, and familiarity with document management procedures, typically supported by a high school diploma or equivalent. Experience with scanning equipment, OCR software, and digital workflow platforms like SharePoint or Kofax is commonly required. Strong organizational skills, time management, and the ability to follow confidentiality protocols help individuals stand out in this role. These skills ensure efficient, accurate processing of sensitive information, enabling seamless digital document handling and secure communication within organizations.

What are some common challenges faced by Digital Mailroom professionals and how can they be addressed?

Digital Mailroom professionals often encounter challenges such as processing high volumes of incoming documents, ensuring accurate data extraction, and maintaining document security. To address these, effective use of automation tools, adherence to strict quality control protocols, and ongoing training in data privacy best practices are essential. Collaboration with IT and compliance teams also helps to streamline workflows and resolve technical issues quickly, ensuring that operational efficiency and data integrity are maintained.

At Iron Mountain we know that work, when done well, makes a positive impact for our customers, our employees, and our planet. That's why we need smart, committed people to join us. Whether you're looking to start your career or make a change, talk to us and see how you can elevate the power of your work at Iron Mountain.
We provide expert, sustainable solutions in records and information management, digital transformation services, data centers, asset lifecycle management, and fine art storage, handling, and logistics. We proudly partner every day with our 225,000 customers around the world to preserve their invaluable artifacts, extract more from their inventory, and protect their data privacy in innovative and socially responsible ways.
Are you curious about being part of our growth story while evolving your skills in a culture that will welcome your unique contributions? If so, let's start the conversation.

What You'll Do
In this role, you will:
  • Lead the document conversion process by expertly preparing, sorting, and scanning hardcopy records to deliver high-quality electronic images that meet client objectives.
  • Collaborate with the Imaging Center team to follow production procedures and maintain accurate internal documentation for seamless project tracking.
  • Ensure compliance with organizational standards and Imaging Center guidelines to maintain a secure, clean, and regulatory-compliant work environment.

What You'll Bring
The ideal candidate will have:
  • 1+ years of experience in document prep, scanning, or a fast-paced administrative environment.
  • Strong knowledge of PC operations and computer-related products to navigate imaging software efficiently.
  • Proven ability in maintaining high accuracy and detail while working at a sustained pace to meet production goals.

If the daily work/material that we received from the mailroom is complete and there is no other material to work on, employees will be sent home. Therefore, this position does not guarantee a 40 hour work week if the work is completed.

What We Offer
  • Pay Rate: $16.50/hr - paid biweekly.
  • Schedule: Monday - Saturday (Sunday + 1 weekday are not worked - OT may be required)
  • 1st Shift: 6:30am - 3:00pm
  • Location: 6300 Enterprise Park Dr, Suite C, Chattanooga TN.
  • Competitive compensation and benefits aligned with your experience.
  • Paid time off/holidays: 2 weeks paid vacation and 7 paid holidays plus sick pay.
  • Comprehensive health, wellness, and retirement plans: Full benefits starting on day one, including 401(k) with company match and Employee Stock Purchase Program.
