Job description

Position Overview
The Distribution Center Administrative Assistant (DC Admin) plays a critical role in supporting the day-to-day operations and administrative functions of the Distribution Center. This position is responsible for managing facility supplies, including maintaining accurate inventory levels, ordering, receiving, stocking, and distribution to ensure uninterrupted operations. In addition to supply management, the DC Admin provides essential administrative support to the Distribution Center leadership team, assisting with scheduling, coordinating events, budgeting, and expense reconciliation. The role works closely with multiple internal departments and serves as a key partner in maintaining organization, communication, and operational efficiency throughout the facility. This position also supports the Distribution Center Senior Director by coordinating facility events, managing requisitions, and handling various administrative tasks that contribute to the overall success of the Distribution Center. A strong commitment to teamwork, attention to detail, and the ability to prioritize in a fast-paced environment are essential for success in this role. Shift: Monday - Friday 8am - 5pm
A Day In The Life
  • Order, receive, audit, and distribute operational supplies while maintaining accurate inventory levels to support Distribution Center operations.
  • Manage purchasing activities for facility supplies, ensuring appropriate stock levels and cost-effective sourcing.
  • Create, amend, and process customer quotes, purchase orders, and invoices, ensuring accuracy and adherence to required deadlines.
  • Apply strategic sourcing practices to research, evaluate, and compare vendor products, pricing, and services.
  • Manage Distribution Center equipment administration, including trailers and yard trucks, covering invoicing, registration, repairs, and service coordination.
  • Utilize multiple computer programs and systems to complete required data entry, reporting, and administrative tasks.
  • Assemble, compile, and distribute operational documents, reports, and information.
  • Order, coordinate, and dispatch supply and service requisitions from internal departments.
  • Answer and route phone calls, respond to emails, and complete follow-up correspondence as needed.
  • Partner cross-functionally with DC Operations, Maintenance, Facilities, Procurement, Finance, Sustainability, and other departments to support business needs.
  • Provide administrative support to the Distribution Center leadership team, including scheduling, calendar management, and meeting coordination.
  • Assist with budgeting and expense reconciliation, including processing invoices, expense reports, and financial documentation.
  • Support staffing administration by assisting with organizational charts and onboarding schedules.
  • Coordinate building events and travel arrangements as needed.
  • Perform additional duties and special projects as assigned by the Distribution Center Director and DC Leadership team.

You'll Come With
  • High School Diploma or equivalent.
  • 1+ years of experience in purchasing and inventory management.
  • 1+ years of experience working in a distribution center or warehouse environment.
  • Experience with scheduling, planning, and administrative coordination.
  • Experience using inventory and ordering systems (e.g., Sprocket or similar platforms).
  • Strong written, verbal, and reading comprehension skills.
  • Demonstrated math skills with attention to detail and accuracy.
  • Ability to understand, interpret, and follow written and verbal instructions.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Excellent customer service and interpersonal skills with the ability to build effective working relationships.
  • Ability to multitask, stay organized, and prioritize responsibilities in a fast-paced environment.
